DescriptionDirectly responsible for supporting the firm's Managing Partner (North) at Flint Bishop Limited on a day-to day basis.
This role is responsible for providing comprehensive support to the Managing Partner, both in the operational running of the business and on the delivery of projects throughout the Firm.
Key tasks include diary management on behalf of the Managing Partner, project coordination and follow up, attendance at executive level meetings (including board meetings) and management of individual projects as required.
This is a fast paced role with high level involvement. The ideal candidate will have excellent organisational and people management skills and will be proactive and personable in their approach.
The role is full time, working from our Leeds office, but may involve reasonable travel from time to time.
Key ResponsibilitiesDiary management on behalf of the Managing Partner, to include:
- Proactively ensuring all key meetings are booked on a weekly/bi weekly/monthly basis as required, this includes HOD & Partner update meetings.
- Prepare a daily agenda each morning with details of all meetings and any supporting documents/information.
- Prepare and distributing agendas for all meetings.
- Ensure all actions and tasks set by the Managing Partner in meetings are followed up efficiently and delivered by the stipulated deadline.
- Proactively work with the Managing Partner to identify any upcoming meetings and establish any particulars as required.
Attendance at meetings alongside the Managing Partner, responsibilities include:
- Take minutes of all meetings and share with relevant parties.
- Retain organised files/records of all meetings.
- Actively participate in meetings as required, including summarising agreed actions, setting deadlines and individual involvement in project work.
- Maintain confidentiality and professionalism at all times.
Support & plan meetings as required by the Managing Partner, this may include:
- Plan high-level meetings, visits, and events in line with the Managing Partner guidelines, ensuring all details are confirmed with confidentiality.
- Book internal & external meeting venues as required.
- 'Walk' meeting space prior to the meetings to ensure set up is in accordance with requirements.
- Prepare food and beverage requirements for senior visitors and meetings alongide the administration team.
- Prepare information packs as needed. Collate information from participants in advance and ensure this is readily available.
Office Monitoring & Performance, to include:
- Walk the Leeds office floors daily and ensure any key findings are reported to the Managing Partner.
- Act as the 1st point of contact for HODs and Partners requiring meetings or time with the Managing Partner.
- Where necessary, work alongside the PA to the CEO on shared C suite team projects and office initiatives.
Complete individual ad hoc projects as identified and assigned by the Managing Partner. This could be in relation to a number of key functional areas, such as:
- Office services & facilities.
- Recruitment & HR.
- IT & systems.
- Marketing.
- Social events/initiatives for staff.
- Remind the Managing Partner of any upcoming milestone celebrations for staff (this information will be provided by a member of the HR team). Arrange cards and gifts as required.
Additional tasks to include:
- Provide support to the Managing Partner in the prioritisation of his workload and responding appropriately and filtering requests on his behalf.
- Answer calls as required on the Manging Partner's behalf.
- Book and arrange travel and accommodation for the Managing Partner where required.
- Greet and direct VIP visitors on behalf of the Managing Partner.
- Prepare and send out companywide communications on behalf of the Managing Partner.
- Any other reasonable tasks as required by the Managing Partner.
- At least 2-3 years' experience in an operational support role.
- Excellent organisational and prioritisation skills.
- Have excellent time management skills with the ability to multi task and to meet tight deadlines.
- Strong interpersonal skills, both verbal and written.
- Comfortable communicating with staff at all levels within the business.
- Be able to demonstrate a "can do" attitude and a proactive approach to work.
- Proficient use of Microsoft Office including Excel.
- Be highly motivated and have the ability to genuinely add value to the role.
