Job Description

The PA will be the first point of contact in dealing with correspondence for the Co-CEO, ensuring efficient diary and inbox management, making travel arrangements, and assisting in planning team events and meetings.

The ideal candidate will be able to hit the ground running, in a fast-paced environment, with attention to detail whilst using their own initiative and working with complete discretion and confidentiality.

Job Requirements

What you'll be doing

  • Act as a first point of contact to the Co-CEO providing high level, confidential, administrative and project support services.
  • Work collaboratively as part of the wider LW Theatres team, particularly the Co-CEO's direct reports, the EA to our other Co-CEO and the Office Manager.
  • Act as the first point of contact for the Co-CEO, ensuring there's an effective flow of information to and from their teams and key contacts.
  • Manage and maintain the diary of the Co-CEO; arranging meetings and ensuring meeting requests are reviewed and prioritised appropriately.
  • Attend and take meeting minutes as required by the Co-CEO.
  • Manage the inbox of the Co-CEO, including prioritising and proactively responding to emails, whilst ensuring confidentiality at all times. Ensure that all relevant information is communicated speedily and accurately. Behave sensitively and with discretion where required.
  • Support the smooth and effective running of the Senior Leadership
Job Responsibilities

What we need

  • Excellent communication skills
  • Significant and recent previous experience in a PA, coordinator or administrative role supporting at a senior level
  • Experienced in collating and reviewing meeting packs and minuting meetings
  • A self-starter with a strong sense of responsibility who can work in a dynamic, fast paced environment whilst managing a busy workload with minimal supervision
  • Ability to work efficiently under pressure, be resourceful and have creative problem solving skills
  • Excellent organisational skills and attention to detail
  • Proficient in the use of Microsoft Office applications, including Outlook, Word, PowerPoint, Excel, and ability to learn other systems easily
  • Be flexible and adaptable. Able to react to changing priorities and unexpected hurdles/challenges as they arise.
  • Be able to demonstrate proven experience in prioritising deliverables and planning workload
