About the role

The successful candidate will be excited to work at the intersection of people, business process and purpose. You will be ready to help a growing organisation to mature its internal foundations, bring clarity and structure to evolving operations, supporting cross team collaboration to achieve Proforest's purpose.

This role will support Operations Director to oversee the operations functions for the European region, including HR operations, business process, legal compliance, office and facilities management. You will be responsible for designing, implementing and maintaining policies, procedures and guidance to meet organisation goals.

You will focus on the operations of the European region but also have the opportunity to work as a member of global HR or operations working groups to align on global policies and collaborate on global initiatives.

Key responsibilities include:

HR

Coordinate the development and maintenance of clear HR policies, procedures and systems, ensuring they are up to date and fit for purpose; Support line managers in understanding and applying HR policies consistently

Improve and embed professional development tools and processes (e.g. annual review, progression frameworks), working closely with the training lead and senior management team

Co-ordinate talent review processes and input to compensation committee, ensuring clarity and transparency in reward systems

Manage staff engagement survey process, analyse and communicate results

Support employee relationship, engagement and talent planning in partnership with the HR business partner

Provide oversight of the HR work plan, budget and activities

Business process

Lead the initiatives to streamline workflows across functions and support change management across teams

Legal compliance and governance

Manage institutional contracts and governance documentation in line with statutory requirements and internal policies.

Support the development of institutional policies that strengthen governance and ensure accountability across the organisation

Office and facilities management

Oversee office and facilities coordination and provide line management to the Office Manager

Qualifications

You'll be passionate about what we do and, you'll thrive in an evolving and complex organisation. This role is ideal for someone who enjoys systematising processes and bringing clarity to ambiguity.

You are likely to have either:

a strong people/HR operations background and are looking to broaden into wider business operational areas, or

a strong operations management background that includes responsibilities for HR functions

You will also have:

A proven track record in creating effective people policy, procedures and guidance documents

Strong ability to synthesise complex information into coherent and clear implementation actions for a wide audience

The ability to balance proactively driving process improvement while effectively engaging employees

Excellent and adaptable communication skills, with ability to build and deepen collaborative relationships with key stakeholders

Fluency in English is important to work across all of our operating regions

Skilled with data and systems

Experience working in a consultancy style business

Experience working in a global organisation

HR experience, specifically in progression frameworks, HR policy, induction process, reward and payroll

Experience managing contracts and compliance

Experience in other areas of operational management

Key information

Location:Oxford, please note we are in the centre of Oxford where there is no parking onsite.

Salary:£50,000- £55,000 per annum depending on skills and experience

Closing date: 15th of July. Please note 1st interviews will be held over MS Teams w/c 28th July and 2nd, in person (if possible) on the 4th and 5th of August.

Working hours:Full time (Monday to Friday), we will consider applications from those wishing to work 4 days per week.

Hybrid working:Proforest operates on a hybrid basis. We encourage staff to attend the office to maximise interactions with colleagues and encourage collaboration but also appreciate individual circumstances and preferences. We ask that you attend the office at minimum of twice a week and are happy to explore flexible working options.
