Description

Are you an experienced Executive Assistant who offers high level administrative support, with a strong focus on customer service?

We're recruiting for an Operations Executive Assistant to provide high quality executive support to the Chief Operations Officer and Operations senior leadership team. This will include arranging and supporting divisional meetings and events, as well as managing independent projects where required.

What does this role do?

As the Operations Executive Assistant you'll:

  • manage the inbox of the Chief Operations Officer, flagging any urgent correspondence, as required
  • be the key point of contact for the senior Operations team, managing the flow of information to the right recipient and supporting timely decision-making
  • provide proactive diary management for the Chief Operations Officer and Operations senior team, resolving conflicting demands in schedules, reallocating requests and ensuring that time management is optimised
  • support the Chief Operations Officer in tracking divisional budgets and KPIs
  • prepare for upcoming meetings proactively by compiling papers, ensuring relevant attendance and providing appropriate pre-reading and briefings as required
  • support meetings, taking minutes and tracking actions to ensure timely follow-up
  • provide day-to-day administrative support to departments, including document formatting, record keeping and maintaining filing systems
Could this be you?

To be successful in this role you'll have previous experience as an Executive or Personal Assistant, with the ability to work autonomously and within a team, exercising sound judgement and using your own initiative.

You'll have strong organisation and planning skills with excellent attention to detail and the ability to manage complex and highly confidential information. You'll be a fantastic communicator with a pragmatic and 'can-do' approach to your work, and a willingness to support colleagues across a wide range of administrative and coordination tasks.

What does this team do?

The Operations division includes all the 'mission delivery' aspects of Dogs Trust's work. This encompasses a network of 21 rehoming centres helping dogs whose owners can no longer care for them; teams focussed on preventing relinquishment and euthanasia through provision of behaviour support, fostering dogs to support owners fleeing domestic abuse and working to increase access to pet friendly housing; specialist vet and welfare teams supporting best practice in dog welfare across operations; a team focussed on both internal and external dog and owner data; and a dedicated programme and project team.
