Job Description

The Operations Coordinator - Property Management works with the Operations Team to deliver facilities services to occupants of managed properties, ensuring best practice standards and alignment with business objectives.

Key Responsibilities and Deliverables
  • Support the Operations Manager in planning, coordinating, and delivering minor works such as fabric repairs, VT refurbishments, building alterations, and related building systems works.
  • Collaborate with building surveyors to manage repair impacts, prioritising minimisation of disruptions to customers and occupiers.
  • Maintain effective communication with the centre management team about all works planned, in progress, and finished.
  • Create and maintain project trackers to share information on project progress.
  • Ensure all works are completed within allocated time frames and budget periods.
  • Attend project meetings and provide progress updates to the Destination Director and Operations Manager.
  • Deliver client KPIs as identified within the agreed MSA (Master Service Agreement).
  • Help inspire teams to embrace and deliver Operational Excellence at Westquay and maintain the highest standard of performance for administration, operations, and management of landlord areas.
  • Contribute proactively to Destinations Health, Safety, Security, and Environmental performance.
  • Ensure on site management complies with JLL policies, processes, and procedures.
  • Meet insurers' requirements and report all accident and incident information, including insurance and statutory forms.
  • Engage with other departments and participate as part of Team Westquay.
  • Build and develop occupier relationships in line with the Operations Manager and maintain regular day to day communication.
  • Assist with operational initiatives across the destination, liaising closely with service partners and other departments.
  • Issue work permits and manage the process at Westquay.
  • Manage building plant and equipment, and oversee building management systems where appropriate.
Required Qualifications, Skills and Experience
  • Project Management experience desirable.
  • Previous experience in the property industry or a similar business line, with client facing or FM background.
  • Commercial acumen.
  • Strong stakeholder management skills and ability to understand business ideas.
  • Supportive of operational business change and improvements.
  • Ability to work on own initiative, listen, and be willing to learn.
  • Discretion when handling sensitive and confidential information.
  • Results orientated with high standards.
  • Strong organisation and excellent verbal and written communication skills.
  • Good administrative and IT skills (Word, Excel, PowerPoint).
  • Resourceful and driven to achieve results.
  • Knowledge of safety, quality, and cost risks.
  • Preferably IOSH certified, or working toward IOSH certification.
