We are seeking a highly organised and detail-oriented Operations Administrator /Project Coordinator to support day-to-day operational activities and site onboarding processes.
This role blends administration, coordination, and data/reporting, making it ideal for someone with strong Excel skills who enjoys working across multiple teams and ensuring smooth execution of processes.
You will play a key role in supporting employee onboarding, site access, compliance tracking, and operational reporting while improving efficiency and accuracy across workflows.
Key Responsibilities- Coordinate end-to-end onboarding for new hires and contractors
- Manage documentation (e.g., forms, ID verification, system setups)
- Schedule and coordinate site training and inductions
- Conduct welcome sessions and site orientation support (e.g., meet & greet, site walks)
- Ensure all site access requirements are completed (badges, system access, facilities access)
- Manage and maintain employee records, training compliance, and access permissions
- Coordinate requests across internal systems and stakeholders
- Support travel, expenses, and general administrative processes
- Act as a key point of contact for operational queries
- Maintain process documentation and standard operating procedures
- Own and maintain operational trackers and reporting dashboards
- Analyse data trends and identify gaps or improvement opportunities
- Produce regular reports on onboarding progress, training compliance, and operational KPIs
- Manage and manipulate datasets using advanced Excel (e.g., PivotTables, formulas, data validation)
- Liaise with internal teams including HR, Finance, Training, and Site Operations
- Coordinate with external vendors or partners where required
- Track actions and ensure timely completion of tasks
- 5+ years' experience in administration, operations, or project coordination
- Strong organisational and multitasking skills
- Advanced Excel skills (essential)
- High attention to detail and accuracy
- Strong communication skills (written and verbal)
- Ability to manage multiple stakeholders and deadlines
- As this role is based across Leixlip and Maynooth (Co. Kildare) sites, own transport is essential.
- Experience working in a fast-paced or technical/operations environment
- Exposure to onboarding, compliance, or workforce coordination
- Familiarity with travel booking systems, expenses, or vendor coordination
