Job Description

We're looking for an organised, hands on Office Services Team Leader to keep our workplace running smoothly and to lead a high performing Office Services Team. You'll take ownership of day to day office services and facilities activity, ensuring the building, services and certifications remain fully operational and compliant-supporting business growth and delivering an excellent experience for colleagues, customers and visitors.

The role
  • Ensure the building, inherent systems and required certifications are fully operational and current to satisfy business needs
  • Ensure adequate resourcing is in place to retain business functionality
  • Provide a stable office services and facilities platform to support targeted business growth and excellent customer experience
  • Drive "Best Buy/Best Structure" on administration contracts relating to office and travel
Key responsibilities
  • Ensure complete user satisfaction for Hub training and meeting rooms and all building facilities
  • Ensure customer training facilitation is delivered to the required standards
  • Manage the day to day activities of the Office Services Team
  • Develop team skills and knowledge through self development plans, reviews and appraisals
  • Ensure compliance with statutory and legal requirements relating to building management (including H&S)
  • Deliver office services projects correctly and on time
  • Oversee core office services activity, including:
    • Ordering office stationery, equipment, consumables and sundry items
    • Arranging UK and international travel and accommodation
    • Event management
    • Day to day administration of the company car fleet
    • Ordering and monitoring usage of PPE
    • Supplier negotiation to secure value and quality
    • Office service contracts (cleaning, maintenance, recycling and waste management)
    • Assist with procurement and administration of mobile telephones and the main phone system
    • Manage insurance claims and contracts effectively
    • Undertake ad hoc projects/research for the Commercial Manager as required
Key accountabilities
  • Premises availability with all non IT related elements functioning as required
  • Managing Office Services within budget
  • Creation and maintenance of working practices, processes and procedures for the Office Services Team-and ensuring adherence
  • Team and individual KPIs
  • Performance and development of team members
Authority
  • Select and engage Office Services service providers
  • Determine how Office Services support is delivered to the business
  • Change department working practices to better meet business needs
  • Process purchase orders supported by approved requisitions
What we're looking for
  • Good IT skills (Microsoft applications, telephone system and other business systems)
  • Ability to multi task and manage multiple unscheduled demands
  • Excellent interpersonal skills-friendly and professional with colleagues, suppliers, callers and visitors
  • Strong teamworking skills to maintain cover by offering and receiving assistance
  • Formal qualification in internal auditing of Quality and Environmental Management Systems
