Job SummaryThe Office Manager is responsible for ensuring the smooth operation of the office by managing administrative tasks, coordinating facilities, and supporting Facilities Manager. This role requires excellent organizational skills, a proactive approach, and the ability to handle a variety of tasks efficiently.
Responsibilities and Duties- Office Management: Oversee daily office operations, including managing supplies, equipment maintenance, and facilities.
- Contracts support: act as a first point of contact and build relationships with vendors.
- Reception Services: Act as a first point of contact for visitors, ensuring a professional and welcoming environment. Coordinate meeting rooms requests, handling post and deliveries, issuing access passes.
- Staff Coordination: new members of staff onboarding, providing ongoing support.
- Budget support: Monitor office budgets, including tracking expenses and ensuring cost-effectiveness.
- Health and Safety: act as Fire Warden and First Aider. Ensure the office complies with health and safety regulations and maintain a safe working environment.
- Provide executive support to executives based in the Gherkin building.
- Organise and coordinate external meetings and large sports and social events.
- Ad-hoc tasks.
- Experience: Proven experience in office management, administrative and reception roles.
- Skills: Strong organizational, communication, and problem-solving skills.
- Technical Proficiency: Proficient with office software, including Microsoft Office and other relevant tools. Ability for learning new software and systems.
- Personal Attributes: A proactive approach, attention to detail, hands on attitude, the ability to multitask effectively in a fast-paced environment, and to work independently and as part of a team.
- Location: London.
- Office Hours: Monday to Friday, 9:00 AM to 5:00 PM; Flexibility on Fridays allowing for the possibility of working from home.
- Occasional overtime may be required.
- Office based.
