Job Description
Office & Team Manager

A fast-growing PR, marketing and events agency is looking for an experienced Office & Team Manager to play a central role in keeping the business running smoothly. This is a highly varied operational position responsible for supporting the team, managing internal processes, and ensuring the agency's UK and US operations function efficiently.

This role sits at the heart of the organisation and works closely with leadership to support people operations, office management, compliance and internal culture. It's ideal for someone who enjoys building structure, improving processes, and creating an environment where teams can do their best work.

Key Responsibilities
  • People Operations
    • Manage the employee lifecycle including onboarding and offboarding
    • Coordinate employee review cycles and performance management processes
    • Administer training and professional development programmes
    • Manage recruitment administration and careers inbox
    • Oversee employee benefits across the UK and US including healthcare, pensions, and 401k administration
    • Maintain employee records and HR systems
    • Support leadership with HR policies and best practice
  • Office & Agency Operations
    • Oversee day-to-day operations across UK and US offices
    • Coordinate travel arrangements and operational logistics for the team
    • Organise shipments for trade shows and events
    • Arrange client and press gifting
    • Manage internal communications and team announcements
    • Maintain operational systems and agency processes including the IT stack
    • Oversee ordering and setup of new technology devices
    • Ensure the office environment supports productivity and collaboration
  • Compliance, Contracts & Administration
    • Manage company registrations and compliance requirements including expansion into new US states
    • Maintain and administer company contracts such as NDAs and supplier agreements
    • Oversee insurance policies and corporate subscriptions
    • Manage corporate cards and expense systems
  • Team Experience & Culture
    • Organise employee recognition, gifting and milestone celebrations
    • Coordinate welcome lunches and team social events
    • Support initiatives that strengthen culture and engagement
    • Help maintain a positive, organised and inclusive working environment
Ideal Candidate

Experience

  • 5 years' experience in operations, people operations or office management
  • Background working in a PR, marketing, communications or creative agency
  • Experience supporting teams of around 20 to 50 people
  • Exposure to both UK and US employment processes and operations

  • Highly organised and detail focused
  • Proactive and solutions oriented
  • Strong communicator with a people first mindset
  • Process driven with the ability to build and improve systems
  • Commercially aware and comfortable managing multiple priorities

  • HR systems such as BrightHR
  • Resource planning or timesheet platforms such as Synergist
  • Expense management platforms such as Dext or Equals
  • Google Workspace, Slack and collaboration tools
