We are currently recruiting on behalf of a successful and rapidly growing organisation within the fleet and vehicle management sector. This is an excellent opportunity for an organised and customer-focused Administrator to join a busy operational team supporting major corporate clients.The successful candidate will play a key role in ensuring vehicles are managed efficiently throughout the repair and remarketing process while delivering exceptional levels of customer service and administration support.
The RoleWorking within a fast-paced environment, you will be responsible for coordinating vehicle movements, processing repairs, managing parts, and liaising with both customers and internal teams to ensure service level agreements are consistently achieved.This role would suit an individual who is highly organised, proactive, and enjoys working within a collaborative team environment.
Key Responsibilities- Monitor vehicle repairs and work in progress to ensure customer SLAs are met
- Manage off-site repair activity and liaise with dealerships and suppliers
- Produce pricing reports and process authorised works
- Handle customer enquiries and provide timely updates
- Coordinate with internal departments to ensure vehicles are processed efficiently
- Raise quotations and manage parts ordering, receipt and returns
- Monitor back-ordered parts and source alternative solutions where required
- Manage on-site vehicle key control
- Arrange vehicle collections and transportation movements
- Liaise with auction houses regarding vehicle documentation
- Monitor ageing vehicles and elevate issues as appropriate
- Track quality control failures and support their resolution
- Work closely with production teams regarding repair upgrades, downgrades and parts management
- Previous administration experience within a busy office or operational environment
- Strong organisational and time management skills
- Excellent customer service and communication skills
- High levels of accuracy and attention to detail
- Ability to prioritise multiple tasks and meet deadlines
- Confident using Microsoft Office and internal systems
- A positive, adaptable and team-oriented approach
- Experience within automotive, fleet, logistics, service or repair environments would be advantageous, but is not essential
