We have an exciting opportunity for a Medical Secretarial Supervisor to join our management team on a 12 month secondment or fixed term basis.
The postThe post holder will work within the Medical Secretarial Management Team. They will have day to day line management responsibility for teams providing secretarial services across the Acute Sector. The role is mainly based at the Foresterhill site but staff also work at Woodend Hospital and in the community across Aberdeen city and shire, so the post holder will routinely travel to line manage staff in these areas. The post holder will support staff recruitment, training and retention.
The post holder has delegated responsibility for waiting list management within their specialties, monitoring compliance with the NHS Grampian Access Policy and proposing corrective action where necessary. They will also monitor compliance with theatre utilisation, data quality and typing turnaround targets, and will act as a super user for the Dragon Medical Workflow system.
Working with the Assistant Secretarial Service Manager and the wider Management Team the post holder will support service improvement work, suggest areas for improvement, implement changes and monitor and adjust as appropriate. They will also provide cover for colleagues within the team during periods of leave.
What we love to seeDesired experience and skills:
- Recent (within the last 5 years) NHS Medical Secretarial experience
- In depth understanding and experience of the NHS Grampian Access Policy
- Experience using the inpatient modules of TrakCare and Dragon Medical Workflow as a super user and trainer
- Line management experience advantageous but not essential
- Valid driving licence and ability to travel, or ability to travel without a car
The Medical Secretarial Service provides secretarial and admin support to medical, surgical and clinical teams across the acute sector of NHS Grampian. The team includes Medical Secretaries, Audio Typists, Administrators, Filing Clerks, Receptionists, Trainers, PAs and the Management Team.
Opportunities for progression exist within the Service, including expanding knowledge into other medical, surgical and clinical services, and developing into higher management roles over time.

Additional information for candidates- From 4 January 2026 the full time working week will be reduced from 37 to 36 hours. Part time hours will be reduced pro rata, but there will be a corresponding increase in the hourly rate so pay is not affected.
