With nearly 3000 employees, the Department of Acute Medicine (DMA) includes the Services of Anesthesiology, Clinical Pharmacology and Toxicology, Intensive Care, and Emergency Services. It fulfills a quadruple mission through its services, which bring their expertise in frequent interaction with all the University Hospitals of Geneva, through a transversal approach, with the aim of ensuring the best possible care.The Adult Intensive Care Service manages adults who present or are at risk of developing vital organ anomalies, whether medical or surgical, and whose vital risk is generally at stake. It also advises and intervenes when needed in other services of the HUG during emergencies and participates in urgent hospital interventions.As a Medical Secretary in the Intensive Care Service, you perform all tasks related to the activities of the department (managing appointments, files, documents) and organize complementary examinations, ensuring the proper follow-up of the medical file and/or of the doctor. You manage the clinical documentation for the service (discharge letters, medical reports), follow up on patient care, draft and format various documents (correspondence, minutes, reports, updated procedures, etc.), and perform logistical tasks such as work requests, stock management, and teaching hour recording.You ensure the registration of post-graduate teaching hours, the arrival of 6th-year medical interns, and the management of certain schedules for the medical teams. You also handle phone calls and the physical reception of patients and/or their families, manage mail and messaging, and handle files related to patients and insurance (monitoring, typing of documents, searching, filing). You participate in the follow-up of files pertinent to the activity. Thanks to your interpersonal skills, you develop a close bond with your colleagues and provide continuous service by ensuring coverage during absences to maintain service continuity. More generally, your sense of service makes you a versatile person ready to contribute to the institution by working in different services as needed.You hold a medical secretarial diploma or any equivalent qualification. You have successfully completed a 3 to 5 years of experience in a similar position within a medical environment. You possess a perfect command of written and spoken French and a confirmed ability in written communication. Medical terminology is easily understandable for you. Knowledge of English is a plus. You have very good knowledge of IT tools (advanced ECDL level on Word and standard on Excel REQUIRED) as well as the software in use at HUG (DPA, DPI, GRECO, Qualiac, Opale). Equipped with a good team spirit, you possess the ability to work in a shared office with several secretaries while maintaining excellent organizational skills and priorities. You are an autonomous, dynamic, rigorous, and precise person in the tasks entrusted to you, and you also have tools to face unforeseen events and manage stress effectively.
