We are seeking a dedicated and professional Medical Receptionist to join our busy and fast growing surgery of around 7500 patients.
The ideal candidate will be the first point of contact for patients, providing exceptional administrative support and ensuring a smooth operation within the medical practice. This role is essential in creating a welcoming environment for patients while managing various office tasks efficiently.
Main duties of the jobDuties
- Greet patients and visitors in a friendly and professional manner.
- Manage patient check-in and check-out processes, ensuring all necessary information is collected accurately.
- Schedule appointments and maintain the appointment calendar for healthcare providers.
- Answer phone calls promptly, addressing inquiries or directing calls to the appropriate staff members.
- Maintain patient records, ensuring confidentiality and compliance with data protection regulations.
- Process patient forms and insurance information accurately.
- Assist with billing inquiries and coordinate with insurance companies as needed.
- Perform general office duties such as filing, data entry, and managing correspondence.
Experience
- Previous experience in an administrative or office role is preferred, particularly within a medical or healthcare setting.
- Strong organisational skills with attention to detail to manage multiple tasks effectively.
- Excellent communication skills, both verbal and written, to interact with patients and staff professionally.
- Proficiency in using office software and electronic health record systems is advantageous.
- A compassionate approach towards patient care and a commitment to maintaining a positive environment.

Job responsibilitiesA Medical Receptionist acts as the primary point of contact for patients and provides essential administrative support to healthcare professionals. They are responsible for creating a welcoming environment, managing patient scheduling, and handling sensitive information in compliance with privacy regulations.
Key Responsibilities
- Front Desk Management - Greet patients and visitors, answer incoming phone calls, and manage the general reception area, including maintaining a clean, welcoming environment.
- Book, change, or cancel appointments via phone or in-person, and manage appointment systems (e.g., electronic health records) to ensure efficiency.
- Patient Registration & Records - Register new patients, update personal details on the system, and process patient information, including scanning and filing records.
- Communication & Triage - Act as a central contact for patients, doctors, and nurses. Direct calls and messages efficiently, ensuring emergency calls are prioritised. Using the electronic triage system to triage administrative queries sent in by patients.
- Administrative Tasks - Process prescriptions, manage correspondence, and manage patient enquiries
- Safeguarding - identify potentially vulnerable patients, identify potential signs of harm, follow strict confidentiality rules and report concerns immediately to the practice safeguarding lead
- Data Security - Ensure patient confidentiality is strictly maintained in accordance with practice policies and Data Protection legislation.
