Purpose of the Role
The Management Assistant is a strategic support function to the Managing Director, combining high-level administrative tasks with hands-on involvement in business operations. You will drive execution across multiple functions by coordinating initiatives, monitoring KPIs, supporting system improvements, and ensuring efficient communication and follow-up throughout the organization.
Key Responsibilities
Executive Support
- Manage complex calendars, travel logistics, and confidential correspondence.
- Prepare reports, presentation decks, and internal communication for leadership.
Meeting & Communication Management
- Organize and document internal and external management meetings.
- Track action items and ensure follow-up on strategic initiatives.
Document & Project Coordination
- Maintain digital records and documentation workflows.
- Support the execution of strategic projects across departments.
CRM System Support
- Assist the MD in managing and improving CRM systems and processes.
- Generate and analyze CRM reports (e.g., sales funnel, pipeline accuracy, lead conversion).
- Identify areas for CRM optimization and ensure data quality.
- Coordinate user feedback and training needs for continuous CRM improvement.
KPI Monitoring & Reporting
- Track and report departmental and company-wide strategic KPIs.
- Support data consolidation for reviews, dashboards, and board presentations.
Event & Initiative Support
- Help organize internal company events and customer engagements.
- Liaise with Marketing on cross-departmental projects.
Ideal Candidate Profile
- Minimum Bachelor's degree in Business Administration or related discipline.
- 3-5 years' experience in a similar role supporting senior leadership.
- Highly Proficient in Excel, MS Office, CRM systems, and data analysis/visualization tools.
- Excellent organizational, analytical, and interpersonal skills.
- High degree of professionalism and discretion.
- Fluent in English; Dutch is an asset, as well as Romanian.
- Knowledge of lean principles, CRM reporting, and continuous improvement methodologies is preferred.
