Job Description
Legal Secretary Overview

We are seeking an experienced and highly organised Legal Secretary to provide comprehensive secretarial and administrative support to fee earners within a busy legal environment. The successful candidate will possess excellent communication skills, strong attention to detail, and the ability to manage a varied workload efficiently while maintaining a high standard of client service.

Key Responsibilities
  • Produce accurate documentation, reports, correspondence, and legal documents in accordance with standard office procedures and precedents.
  • Provide comprehensive secretarial support to fee earners and assist with wider administrative tasks when required.
  • Manage fee earner diaries, schedule appointments, and coordinate meeting logistics.
  • Insert, monitor, and amend key court dates and deadlines.
  • Undertake general administrative duties including filing, document management, telephone handling, and email correspondence.
  • Follow up outstanding matters via telephone and email on behalf of fee earners.
  • Proofread, format, and prepare presentations, reports, and legal documents.
  • Produce billing guides, timecards, and related financial documentation.
  • Prepare and issue invoices, responding to client queries regarding billing and accounts.
  • Produce and maintain spreadsheets to support billing and financial processes.
  • Modify time entries, monitor disbursements, and arrange payments to third-party suppliers where necessary.
  • Monitor debtor lists and assist with credit control activities.
  • Liaise effectively with clients, colleagues, and external parties to ensure the smooth running of matters.
Essential Requirements
  • Minimum of 2 years' experience in a secretarial or administrative role.
  • Previous experience working within a legal environment.
  • Ability to work effectively both independently and as part of a team.
  • Outstanding interpersonal and communication skills, both written and verbal.
  • Excellent organisational and prioritisation skills.
  • Strong attention to detail and the ability to use initiative.
  • Proven ability to manage a high-volume workload within a busy team environment.
  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience handling financial matters, including billing, client account queries, and invoice administration.
Desirable Requirements
  • Previous experience as a Legal Secretary or Legal PA.
  • Experience using legal case management systems.
  • Knowledge and experience of the Elite accounts package.
  • Previous employment experience in a professional services environment would be advantageous.
