Job Description

An exciting opportunity has arisen in our Leamington Spa office for a Legal Assistant to join our Family Private Department on a full time and permanent basis.

The successful candidate will provide a full secretarial and support service within the department, assisting multiple Fee Earners. You will need excellent keyboard skills, a polite and patient manner, initiative, and a flexible approach. It would be preferable to have at least two years' experience working within a Family Private Department (although this is not essential). Depending on the right candidate, there is scope to progress in this role.

Responsibilities
  • Undertaking typing and secretarial work within the Family Department for multiple Fee Earners but also assisting when needed across the Department as part of the Family support team
  • Scanning of all family post and forward the PDF's to the relevant fee earner
  • Dealing with initial new client enquiries, allocating them amongst fee earners and signposting appropriately
  • Handling of and dealing with clients' calls (as delegated by Fee Earners) and liaising with Fee Earners on case developments.
  • Dealing with clients by phone, email and in person (as delegated by Fee Earners depending on experience).
  • Diary management
  • Case management - under guidance of Lead Fee Earner
  • Making appointments for clients
  • Conflict checks on new clients
  • Preparation of files for upcoming appointments and passing to Fee Earner
  • Preparation of documents (as delegated by Fee Earners)
  • Preparing case files for Court hearings
  • Maintaining filing systems (through case management system).
  • Providing general administration tasks, as and when required
  • Attending Family Department Support Meetings and Firm Wide Meetings
  • Provide reception cover as required
  • Issue accurate invoices and cost scheduling for clients on a monthly basis under Fee Earner supervision/instructions
  • Maintain and protect client confidentiality at all times internally and externally
  • Undertaking any reasonable instructions given by management within the limits of this employment description
Qualifications
  • Excellent keyboard skills with a good knowledge of Outlook, Word & case management (experience of using Tikit is desirable)
  • At least two years' experience working within a Family Private Department (desirable but not essential)
  • Dynamics in approach and uses initiative when dealing with clients or potential clients
  • A positive approach to customer service
  • Ability to be a team player and flexible outlook
  • Efficiency to deal with awkward situations and difficult clients in a professional manner
  • Ability to remain discreet and maintain employee and client confidentiality at all times
