Job Description

The Talent Set are delighted to be working with a fantastic humanitarian charity to find their Legacy Officer.

The charity offers a flexible working environment, with hybrid working and an expectation to work from their London office 2 days per week.

The Legacy Officer will work alongside the Legacy Marketing Manager to help deliver the UK s Legacy Fundraising strategy and support the efficient administration of one of the charity s largest income streams. This role plays a fundamental part of the Legacy Stewardship and Retention programme for those who have already committed to leaving a gift in their will.

Key Responsibilities:

Preparing weekly banking for incoming donations by cheque and facilitating donations via bank transfer.

Responsible for handling all Legacy post, ensuring all correspondence is logged onto the database (Dynamics) and paperwork is filed and archived according to their policy.

Answering phone calls and monitoring the team s Legacies email inbox, ensuring that all inbound enquiries are dealt with professionally, and according to processes and Service Level Agreements.

Record and keep up to date, all relevant information regarding inbound Legacy enquiries.

Responsible for collating paperwork and updating the spreadsheet schedule for the annual tax reclaim (R185s) on legacy gifts, in accordance with HMRC requirements.

Updating database (Dynamics) records with Legacy notification service emails (Smee & Ford).

Drafting and recording correspondence (email and post) to solicitors, executors, and next-of-kin, as required/instructed.

Responsible for closing Legacy records on database (Dynamics) to include checking all relevant data has been captured and scanning/filing/archiving all paperwork.

Collating the analysis reporting on Legacy enquiries and Legacies left to the organisation, using in-house reporting dashboards.

Providing assistance on various Legacy Marketing initiatives, such as radio and press adverts, as well as inserts, and working with the Public Engagement Team on events for Legacy Supporters

Person Specification:

Significant experience working in office environment with strong administration skills and time management skills with an ability to manage a varied and busy workload effectively.

Ability to maintain accuracy, combined with meticulous attention to detail.

Excellent communication skills to build and manage key relationships and choose appropriate communication channels.

Self-starter who has the confidence to provide support across multiple areas, within a fast-paced team, exercising good judgement and using own initiative.

A systematic and organised approach with a proven ability to follow things through and meet targets in line with processes/ schedules and deadlines.

Ability to work with various stakeholders and multiple teams with different levels of experience in order to deliver objectives.

Experience in relationship management and liaising with external suppliers.
