Main Duties- Organise and oversee invigilators for all public exams, and for internal exams where requested by the Exams Officer
- Lead and manage the team of invigilators, including scheduling hours for each exam season and managing short-notice changes and absences
- Help deliver invigilator training and ensure all invigilators are up to date before deployment in public exams
- Oversee the setup of the exam room, including posters, clocks, papers, desk labels and stationery
- Ensure exam room registers are completed and submitted to the Attendance Office after each exam
- Manage the collection and security of candidates' scripts at the end of each exam
- Be aware of evacuation and contingency procedures and ensure invigilators understand these
- Ensure all students' access arrangements are met
- Arrange supervision of timetable clash candidates between exam sessions
- Handle queries, incidents, and occurrences on exam days, and report to the Exams Officer as required
- Maintain high standards among all invigilators
- Act as invigilator or roaming invigilator where required
- Undertake other duties as requested by the Exams Officer related to the smooth running of exams (e.g., filing and shredding)
- Invigilators must declare if they have previously invigilated and disclose any current maladministration/malpractice sanctions
- Conduct examinations in accordance with JCQ, awarding body, and Q3 Academy Great Barr regulations
- Uphold the integrity and security of the examination/assessment process
- Undertake training and update sessions as required before invigilating in a new academic year
- Report to and be briefed by the Examinations Officer before each exam session
- Ensure adequate numbers of invigilators are present and locations are organised
- Keep confidential exam papers and materials secure before, during, and after examinations
- Ensure examination rooms are set up according to requirements
- Admit candidates into examination rooms under formal conditions
- Distribute correct question papers and materials to candidates
- Instruct candidates in the conduct of their examinations
- Address candidate and invigilator questions
- Keep disruption to a minimum and deal with emergencies or irregularities
- Record or report any incidents to the Exams Officer
- Complete attendance registers and submit to the Attendance Office
- Handle candidate questions and invigilator queries according to regulations
- Manage invigilator hours in line with invigilator ratios
- Instruct candidates to finish and organise collection of scripts and materials
- Dismiss candidates and check name details on scripts against attendance
- Return all scripts and materials to the Examinations Cupboard
- Assist with collation and dispatch of answer scripts to Awarding bodies
- File all exam paperwork
- Ensure that no student is left behind in academic and personal development
- Demonstrate exceptional conduct, professionalism, and time-keeping
- Build team commitment and positivity among students and staff
- Engage and motivate students and staff to do their best
- Work in an enthusiastic, cooperative, and polite manner to enhance the School's reputation
- Interact with students in a courteous, positive, caring, and responsive manner
- Play a full part in the School's community in line with its mission and ethos
