The Role

We have an exciting opportunity for an enthusiastic Lab Administrator to join our busy clinic in GCRM Fertility, Glasgow. The main focus is to provide administration support to the Lab acting as a central point of communication for patients, regarding their gamete, embryo storage and transport.

This is a permanent full time position working 37.5 hours per week.

Weekend and on call working required at approximately 1:4.

Key Responsibilities

Administration of the Cryostore in Accordance with HFEA Guidelines

  • Contacting patients regarding the management and payment of their gametes and embryos
  • Communicate to patients via the portal or letter (if not on the portal), informing them of the approaching expiry limit and what their options are and update records accordingly
  • Communicate with patients via phone to help answer patient queries and chase patients who have failed to respond
  • Communication with patients GP's in order to establish the patients contact details
  • Post/email/portal message extension to storage forms and check they are completed correctly upon return
  • Update storage databases/IDEAs with the storage status for each patient

Other duties

  • Preparation of all lab notes
  • Take minutes during Laboratory meetings
  • Managing the administration between licensed centres during gamete/embryo transportation
  • Managing the communications with biopsy analysis providers
  • Assisting in the updating of laboratory documents via Q Pulse under the direction of the Lab Manager
  • Performing audits following appropriate training
  • To be aware of the HFEA Code of Practice and follow statutory and recommended guidelines
  • Booking sperm freeze and post vasectomy appointments as required
  • Registering patients on Ideas/portal
  • Clinical correspondence with patients results
  • Supporting patient support team when needed
  • Participating in clinic activities
  • Be a trained witness for lab activities and participate in the weekend rota
Qualifications and Experience
  • GCSE's or equivalent in Science & English
  • Computer literate - Desirable
  • Previous experience in an IVF Setting
  • Experience of Quality Management
  • Knowledge of the HFEA and Code of Practice
  • Interest in science - will be required to learn the process of IVF from a lab perspective in order to fulfil this role
  • Communication - Will be required to speak to patients/other centres on a regular basis. Must be able to explain complex processes clearly
  • Organisation and ability to work to deadlines - cryostore administration is time specific
  • Attention to detail - must updates records accurately
