Inventory Clerk / Administrator
Salary: £29,000 per annum
Job Type: Full-time

Reports to: Property Manager / Office Manager

About the RoleWe are looking for an organised, reliable and detail-focused Inventory Clerk / Administrator to join our team. This is a varied role combining property inventory responsibilities with general administrative and reception support.

The successful candidate will ideally have previous administrative experience and an interest in property, lettings or inventory management. Full training will be provided on our internal systems and processes.

You will be responsible for carrying out property checks at different stages of the tenancy, accurately recording the condition of properties and assisting with administration, reception and general office duties.

Key ResponsibilitiesInventory & Property Checks
  • Carry out detailed move-in and move-out property inspections.

  • Complete pre-tenancy checks and record the condition of properties accurately.

  • Prepare clear and comprehensive inventory reports, including photographs where required.

  • Record the condition of furniture, fixtures, fittings, appliances and other items within the property.

  • Compare check-in and check-out reports to identify any changes, damage or missing items.

  • Identify and document damage, deterioration or issues requiring attention.

  • Assist with assessing and charging tenants for damage or missing items in accordance with company procedures.

  • Liaise with property managers, tenants, contractors and other relevant parties regarding inventory findings.

  • Ensure all reports and records are completed accurately and within required timescales.

Administration
  • Provide general administrative support to the property and office teams.

  • Maintain accurate records and update internal systems.

  • Process and file property-related documentation.

  • Assist with emails, correspondence and general office administration.

  • Keep information organised and ensure records are up to date.

  • Learn and confidently use the company's property management and inventory systems.

  • Support the team with additional administrative tasks as required.

Reception & Customer Support
  • Provide professional reception and front-of-house support.

  • Welcome visitors, tenants, contractors and other guests.

  • Answer incoming telephone calls and respond to general enquiries.

  • Direct enquiries to the appropriate member of staff.

  • Provide a friendly and professional service to tenants and clients.

  • Assist with general office coordination when required.

Essential Requirements
  • Previous administrative experience.

  • Excellent attention to detail and a methodical approach to work.

  • Good written and verbal communication skills.

  • Strong organisational and time-management skills.

  • Confident using computers and learning new IT systems.

  • Ability to maintain accurate records and produce clear reports.

  • Professional and approachable manner.

  • Ability to work independently and as part of a team.

  • Reliable, punctual and able to manage competing priorities.

Desirable Experience
  • Previous experience in property, lettings, housing or inventory management.

  • Experience carrying out property inspections or inventories.

  • Experience dealing with tenants or customers.

  • Knowledge of check-in/check-out procedures and property condition reporting.
