Job Description
Midway Surgerymaintains excellent electronic medical records and administration support tothe clinical team. The mainresponsibilities of this post within the Administration Team is to ensurethat the clinical rota is accurate and up to date, and ensure adequate staffing levels are maintained,and the services are not adversely impacted. They will be involvedwith forward planning of clinics for the PCN, all practice doctors, alliedhealth professionals and nurses.

The aim of the role is to implement,embed and maintain processes and control procedures to ensure that leavearrangements, rotas and agency and locum utilisation are effectively managed.

In addition, this post may be required to manageemails, carry out data searches and audits, and support patient recall systemsand service campaigns.

Main duties of the job
  • Manage processes for capturing and recording annual, sick, study and professional leave.
  • Establish forward looking clinical Rotas to clearly identify gaps and if possible, ensure cover is provides.
  • Ensure all clinical staff team rotas are updated daily and produced 8 weeks in advance.
  • Be the main point of feedback to the practice managers regarding the rota to inform partnership of any prospective rota issues.
  • Develop and establish rota rules for Midway Surgery
  • Link with the GP trainers where information is required for registrars or students and to be alert to any changes with the training requirements for the rota.
  • Be the practice point of contact for the registrar doctors when they are requesting any leave or rota changes.
  • Set up new staff on all IT systems including emis, Docman, NHS mail and more.
Support patient recall systems and service campaigns by carrying out searches and auditing patient records.

Utilising a range of computer software may be required to deliver the requirements of the post including emis, Docmail, Open Exeter and more. Training will begiven.

Any other duty as deemed relevant to this post.

About us Midway Surgery looks after the residents of Chiswell Green, Park Street, Bricket Wood and west St Albans. There is plenty of parking, and premises have suitable access for all disabled patients. We have 8 partners and a wide Allied health professional team that includes, pharmacists, social prescribers, a mental health worker, Musculo skeletal specialists and an experienced nursing team.

Information Governance

All staff have a personal responsibility to ensure that person identifiable, confidential or sensitive information is processed in line with the Data Protection Act (2018), General Data Protection Regulations (2016, effective from 25th May 2018), the Human Rights Act (2000) and other requirements such as the Caldicott principles.

  • Quarterly Practice training afternoons.
  • Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work.
All staff have a responsibility to participate in regular appraisal with their manager / team leader.
