Job Description

Job Title: General Management AdministratorReporting To: General ManagerWork Schedule: Onsite - Carrigaline, IE
Responsibilities- Manage communications and schedules, including monthly and quarterly report data collection, consolidation, and timely issuance.
- Develop and maintain a customer in/out notice board, liaising with key stakeholders to keep information current.
- Arrange travel for management team members, including flights, transportation, and hotel accommodation.
- Attend management meetings for note-taking and record keeping; coordinate all-hands and site meetings, including group and room layouts and attendance tracking.
- Assist with customer travel and schedules, working with colleagues and the international travel department to arrange transportation and accommodation; handle on-site badging and registration.
- Provide operational and financial support: reconcile credit card statements and review expense claims for the General Manager and other managers.
- Manage meeting rooms: prioritize management and customer meetings, ensuring rooms are available and have appropriate facilities; coordinate with IT for any issues.
- Plan events for key visitors, including beverages and food organization (generally through third parties).
- Support special projects as directed by the General Manager or a Leadership team member.
- Act as the central point of contact for the site Leadership team.
- Prepare presentations, spreadsheets, and other documents; assist with report preparation and track information such as annual leave for the Leadership team.
- Demonstrate organisational skills, effective time management, discretion, adaptability, and communication in all tasks.
- Execute other duties as required.
- 3 5 years of experience in a similar role.
- Computer literacy: proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.) and other relevant software.
- Data entry and analysis: accurate data entry and ability to analyse data.
- Problem-solving: practical aptitude for resolving workplace issues and providing recommendations.
- Clerical skills: strong foundational clerical skills for filing and drafting correspondence.
- Customer service: strong interpersonal skills to represent the company and assist internal and external stakeholders.
- Education: minimum Level 6.
- Adaptability: ability to work effectively both independently and as part of a team.
