Purpose of the Role: To manage and oversee all gas and statutory compliance activities, ensuring full regulatory adherence, accurate certification, proactive scheduling, and clear communication with residents, clients and internal teams. The role acts as the central point of coordination for Gas PPM, statutory inspections and boiler installation compliance.

Key Responsibilities:
  • Manage and oversee all Gas Safety, EICR and Planned Preventative Maintenance (PPM) activities across domestic housing stock, including gas, oil, solid fuel appliances, pressurised hot water cylinders and any other relevant equipment requiring statutory inspection or planned maintenance, ensuring full compliance with all legislative, regulatory and contractual requirements. This includes readiness to incorporate emerging technologies such as air source heat pumps, solar PV and similar systems as service scope and client requirements evolve.
  • Ensure all compliance certificates are issued to residents within required statutory timescales and stored correctly within company systems, shared drives and shared team channels as required.
  • Issue monthly PPM programmes into the live environment in coordination with the compliance delivery team.
  • Coordinate and send appointment booking letters to residents, ensuring clear communication and adherence to access and compliance requirements.
  • Project manage all gas boiler installation works from instruction through to completion, ensuring: - Full regulatory and manufacturer compliance - Completion and submission of all certifications - Management of manufacturer recalls, safety alerts or remedial actions related to new installations
  • Produce and submit regular KPI and performance reporting, evidencing compliance levels, access rates, programme delivery, outstanding risks and continuous improvement actions.
  • Act as the primary and sole point of contact for the client on all gas and statutory compliance matters.
  • Support client meetings and reporting requirements, providing accurate updates on compliance status, performance and risks.
  • Ensure all required compliance certification and reporting is issued and submitted to the client within agreed contractual timeframes.
  • Manage billing and commercial administration for all compliance activities, gas works and boiler installations, ensuring:
    • Accuracy against contractual schedules of rates
    • Timely invoicing
    • Resolution of billing queries
  • Issue and distribute all compliance certification to relevant stakeholders, including residents, clients and internal teams.
  • Investigate, manage and resolve resident complaints and escalations related to compliance works, access, appointments and installations, ensuring outcomes are documented and systemic improvements identified.
  • Where applicable, support compliance activities relating to fire detection and alarm systems, including coordination with and reporting through platforms such as the AICO portal, where these systems fall within the service scope.
  • Identify compliance risks proactively and implement mitigation actions, escalating issues to the client promptly where risks to safety or statutory compliance are identified.
Qualifications and Experience Required:
  • Administrative, coordination or compliance support role, ideally within property maintenance, housing, facilities management or a regulated environment.
  • Experience supporting gas compliance, statutory compliance or PPM programmes from an administrative or coordination perspective (technical gas qualifications not required).
  • Strong experience managing documentation and certification, ensuring records are accurate, complete and stored correctly for audit and client access.
  • Experience acting as a point of contact for internal teams and clients, providing clear updates, tracking progress and responding to queries.
  • Experience producing basic reports, trackers or updates relating to compliance status, performance or delivery.
  • Experience processing billing or invoicing for works or services, with a good understanding of accuracy and supporting documentation.
  • Strong general administrative experience with digital systems, document management platforms, spreadsheets and trackers.
  • High attention to detail, organisational skills and the ability to manage competing priorities in a deadline driven environment.
  • Standard DBS Clearance Required.
