Front of House Receptionist

The Front of House / Receptionist will provide a professional first point of contact and support the smooth day-to-day running of our Mayfair Head Office through reception, administration, meeting coordination and general office support.
This is a varied role requiring professionalism, discretion and a strong commitment to supporting the smooth running of Head Office. For the right candidate, there will be opportunities to take on additional responsibilities over time, providing exposure to Office Management and Team Assistant duties as the role develops.
Key Responsibilities- Act as the first point of contact for visitors, callers and colleagues, including greeting visitors, managing correspondence, handling incoming calls, and distributing post and deliveries.
- Ensure the reception area and wider office area are always neat, tidy and welcoming.
- Book and arrange travel, transport and accommodation for Head Office staff and visitors, as required.
- Book national and international couriers, and track bookings to support accurate cost allocation.
- Manage meeting room bookings and ensure rooms are prepared with refreshments and any required equipment.
- Liaise with suppliers and order office supplies, including stationery, printer supplies, refreshments and other office consumables.
- Support the Office Manager with building management and landlord matters, including repairs, facilities upkeep and window cleaning.
- Process expenses for designated members of the Senior Leadership Team (SLT).
- Provide general administrative support to office staff.
- Carry out ad hoc office tasks as requested.
- Arrange Microsoft Teams and in person meetings for designated SLT members.
- Assist with events as required, including coordinating venues, refreshments, logistics and on the day support.
- Discretion and trustworthiness, with the ability to handle confidential information appropriately.
- Sound judgement, practical problem solving skills and the ability to multitask effectively.
- A flexible, adaptable, proactive and positive approach.
- Proven experience in a relevant administrative support role; training will be provided where required.
- Strong working knowledge of Microsoft Office.
- Excellent organisational skills, with the ability to prioritise a varied daily workload.
- The ability to meet deadlines in a fast paced, rapidly changing environment.
- Forward thinking and proactive, with the ability to anticipate office needs, identify improvements and support efficient ways of working.
- Professional verbal and written communication skills.
