Job Responsibilities Building Access & Security- Opening and closing of the building
- Management and issuing/return of visitor access cards, including administration of temporary and lost cards
- Issuing and recording of keys to contractors and client staff
- Monitoring Fire and CCTV systems, responding promptly to alarms or issues, and reporting in line with site procedures
- Anticipating, welcoming, and announcing visitor arrivals
- Monitoring the reception area throughout the day
- Maintaining a clean, tidy, and professional reception and tea station area
- Providing a professional and welcoming presence for all tenants and visitors
- Welcoming visitors and coordinating arrivals
- Handling visitor queries in a professional and timely manner
- Managing contractor access, including key control and sign-in procedures
- Managing phone enquiries efficiently
- Handling internal and external email communications
- Monitoring emails throughout the day and responding as required
- Supporting general internal communication within the building
- Supporting the facilities team with daily tasks, including monitoring restrooms, tea stations, and canteen areas
- Reporting maintenance or service issues to Facilities Management as required
- Managing deliveries, couriers, and collections
- Liaising with Mail Metrics postal services
- Coordinating incoming and outgoing mail
- Notifying relevant departments of received cheques or sensitive items
- Following site procedures for secure handling and distribution
- Providing support to the Facilities Management team as required
- Assisting with day-to-day operational needs across the site
- Carrying out any other duties required to support the safe, efficient, and professional operation of reception and the building, as directed by site management
