Job Description
Spineart is hiring a Front Desk & Office Assistant
Temporary mission: 1 month possibility of extension to 2 months
Working time: 60% - Monday to Friday OR
Starting date: 1st October 2025
Front Desk - Office Assistant
Key responsibilities
Reception & Visitor Services
- Welcome and assist visitors
- Manage the telephone switchboard
Office Management
- Handle incoming and outgoing mail (including tracked and registered)
- Prepare and ship FEDEX packages
- Manage company vehicles (bookings, maintenance, snow tires, fuel cards)
- Monitor building maintenance (air conditioning, doors, leaks, etc.)
- Liaise with property management and handyman services
Facilities & Supplies
- Daily check of meeting rooms and common areas (cleanliness, supplies)
- Maintain cafeteria supplies (coffee, tea, milk, sugar, cups)
- Service coffee machines
- Order and display fruit and breakfast items
- Manage consumables and office supply orders
Employees Support
- Prepare welcome packages and workspaces for new hires
- Assist employees with office-related questions
Event Coordination
- Provide logistical support for company events (summer party, year-end)
- Organize Welcome Mornings and After Work gatherings
- Create visual materials and internal communications

- Fluent in French, with professional English skills
