FM Coordinator

Department: Site - Parks

Employment Type: Part Time

Location: Hillington Park (Site)

Compensation: £26,230 - £26,300 / year

Report To: Estate Manager

Team: Hillington Park

Role Summary

The facilities coordinator will be responsible for assisting the Estates Manager in developing close working relationships with all contractors, providing administrative support, attending meetings, ensuring compliance with FM policies and procedures, managing key log, utilities, access, issuing work orders and contracts, and maintaining the Site Health & Safety system. This part time role (3 days per week, 9:00 am 5:30 pm) is prorated from the full time salary.

Responsibilities
  • Assist the Estates Manager in developing close working relationships with all contractors.
  • Provide administrative support to the Estates Manager & FM team and deputise in their absence.
  • Attend client, contractor and tenant meetings, taking minutes.
  • Ensure compliance with FM policies and procedures.
  • Manage key log (issuing & returning).
  • Handle utilities: complete change of tenancy forms, update meter/serial numbers, submit readings.
  • Arrange access and inform tenants of landlord works and unit access.
  • Issue purchase orders/work orders and process/approve invoicing for the site.
  • Manage contractors working on site and oversee the Permit to Work System/boundary agreement.
  • Maintain the Site Health & Safety system.

Experience and Salary

Level of Experience / Certifications: Ideally experience with Riskwise and 4 years working in a similar role.

Working Hours: 9:00 am - 5:30 pm, 3 days a week (Monday Friday).

Salary: £26,230 - £26,300 per annum, depending on experience.
