We are now seeking an experienced, organised, and people-focused Fees Manager to lead the day-to-day operation of our fees function. This is an excellent opportunity for someone who enjoys combining strong administration, team leadership, customer service, and process improvement in a fast-paced environment.
About the RoleThe Fees Manager will take ownership of the end-to-end administration, collection, and management of afterschool fees and funding across all Kids Inc programmes. This is a key role in ensuring fees are processed accurately, payments are monitored effectively, and all funding requirements are met in line with relevant guidelines.
You will be responsible for managing queries from families in relation to afterschool fees, providing clear and timely responses. In addition, you will lead and support the fees team, ensuring all work is completed accurately, efficiently, and in line with company standards.
The ideal candidate will have strong experience in fees administration and a solid understanding of funding processes, including a good working knowledge of the National Childcare Scheme (NCS), particularly the Hive system.
Key Responsibilities- Oversee the administration, collection, and processing of fees for children enrolled in afterschool programmes and camps
- Ensure fees are invoiced, collected, and recorded accurately and on time
- Monitor outstanding balances and ensure appropriate follow-up is completed
- Ensure NCS returns are completed accurately and submitted within required timelines
- Oversee registrations on relevant systems, including Hive and NCS
- Review applications and allocation of places in line with operational requirements
- Lead, manage, and support the fees team to ensure high standards of performance and service delivery
- Maintain accurate and confidential records relating to fee transactions, adjustments, and correspondence
- Prepare reports on fee collection, outstanding balances, and funding status
- Act as a key point of contact for parents and guardians in relation to billing, fee queries, funding, and payments
- Work closely with internal teams to process refunds, adjustments, and reconciliations
- Ensure compliance with internal controls, company policies, and relevant funding requirements
- Identify and implement improvements to fees processes, systems, and customer experience
We are looking for someone who is confident, detail-oriented, and capable of leading a busy operational function.
You will ideally have:
- Previous experience in a finance, billing, administration, or customer service role
- Experience managing or coordinating a team
- Strong organisational skills and excellent attention to detail
- Experience handling records, payments, and high-volume administrative work accurately
- Strong working knowledge of Microsoft Office, particularly Excel
- Excellent verbal and written communication skills
- A professional and customer-focused approach
- The ability to manage confidential information with discretion
- Strong problem-solving skills and the ability to work effectively in a fast-paced environment
- Experience working in a childcare, education, or afterschool environment
- Familiarity with NCS processes and childcare funding requirements
- Experience using billing, finance, or student management systems
- Experience dealing directly with families and managing large volumes of queries
