This fast-paced role sits at the heart of the company to ensure the smooth running of the SLT's workloads. This is both an internal and outward facing role representing the Company in the best light at all times. We are looking for a career EA who is happy working in the office (based in Shepherds Bush) 4 days per week.DutiesDiary management for Director of HR, General Counsel & COO/CFO - ensuring meetings are effectively prioritised and scheduled, proactively resolving scheduling conflicts and anticipating potential clashesLiaising with members of staff at all levels, including working with the teams within the HR, Finance and Legal departmentsBooking and coordinating travel including preparing itineraries and relevant documentationBooking and preparing meeting rooms for both internal and external meetings including relevant paperwork, tech set up and any catering requirementsOrganising refreshments, snacks, lunches for meetings, events and the SLTCollating reports and preparing packs ahead of board meetingsComprehensive and accurate minute taking and distributing to relevant groups as requiredPreparing PowerPoint presentationsCreating, maintaining, and managing filing systems, templates, and distribution listsCollation and processing of expensesReconciling invoices and inputting on PMI (internal system)Handling gift acquisitions for the SLT and other staff membersOrganising monthly presentation sessions for the Legal and Business Affairs team, including liaising with external lawyers and prepping for the eventAssisting the Senior Executive Assistant to the CEO in effective running of the SLT including organisation of company events and partiesHoliday cover for the SEA and other EA support for the SLTAd hoc administration support to ensure the continuous smooth running of duties relating to the SLTKnowledge & SkillsPrevious experience working as a PA / Team Assistant in a busy office environmentAttention to detail and the ability to complete complex tasks and projects quicklyProficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)Pro-active with excellent organisation skills and the ability to prioritise and handle multiple assignmentsThe ability to communicate effectively and with charm with both internal and external contacts at all levelsThe ability to be flexible line with the needs of the SLT & Senior EA and handle last minute changes and moving priorities with easeA hands-on attitude with a strong sense of initiative and ability to anticipate needsA self-motivator who is eager to learn & developHigh levels of integrity and discretionFriendly, open, and dynamicReporting ToSenior Executive Assistant to CEO & COOContract Type6-month fixed term contractHours9am - 5:30pmWe will consider flexible working requests for all roles, unless operational requirements prevent otherwise.
