As a key member of the DeputyPrincipal's office, you will play a significant role in enablingleadershipeffectivenessand shaping the dailyoperationalrhythmof a highlydynamicenvironment.You willbe responsibleformanaging critical workflows, coordinating high-levelmeetings andeventsand ensuring the Deputy Principal'spriorities are delivered efficiently to a consistently highstandardandidentifyopportunities to streamlineadministrative processes and improve efficiency across thecampus.The EAto theDeputyPrincipalwilloperatewitha high levelof autonomy,proactively resolving issues and ensuring smooth day-to-dayoperations of the Deputy Principal'soffice.
KeyResponsibilities- Provide high-level executivesupport to the DeputyPrincipal,demonstratingprofessionalism,discretionandstrong decision-makingcapabilities.
- Manage a complex and dynamiccalendar, including scheduling appointments, coordinatingstakeholderengagementsand preparing daily briefingmaterials.
- Coordinate and support a broadrange of meetings,eventsand functions, includingall logistical requirements such as roombookings,cateringanddocumentation.
- Prepare high-quality documents,briefings, agendas, and concise minutes of meetings tosupporttimelyand effectivedecision-making.
- Maintain organised andaccessible file and document management systems, and overseeaccounts receivable, payable and expense processes in alignmentwith school policy.
- Support strategic projects withstrong administrative oversight and ensure follow up actionsare completed
- Contribute to the smooth andefficient operation of the campus by ensuring effectivescheduling,timelycommunicationand consistentdelivery of administrative support.
- Model and live the CaulfieldGrammar School values andbehaviours.
- Minimum of 3years'experiencein a personal orexecutiveassistantrole
- Experience in writing executivelevel reports
- Experience in an educationalsetting is highlyadvantageous
- High levelsof written &computer literacy
- Excellent customer serviceandrelationship management
- Outstanding communicationskills
- Exceptionalattention todetail,organisational, timemanagementand prioritisingskills
- High levelof analyticalthinkingandproblem-solvingskills
- Proven ability to workindependently
- Advanced Microsoft and AppleSuite skills
- Hold or willing to obtain anEmployment WorkingWithChildrenCheck.
