Job Description

My client is seeking an exceptional Executive Assistant and Project Manager to join their dynamic longevity media startup at a pivotal scaling stage.

This is a contract position offering approximately 40 hours per week, combining strategic project management with high-level executive support for the CEO. Ideally you will be set up as self employed / be able to self invoice.

Key Responsibilities Executive Support
  • Manage the CEO's complex schedule, diary, emails, calendar and travel arrangements
  • Handle both personal and company-related tasks with discretion and efficiency
  • Act as a trusted gatekeeper and first point of contact
  • Anticipate needs and proactively resolve issues before they arise
Project Management
  • Drive projects from conception through to completion, ensuring all deadlines are met
  • Build and implement processes and systems to support company growth
  • Create clear, comprehensive briefs for team members and external partners
  • Track multiple workstreams simultaneously, maintaining momentum across all initiatives
  • Support the wider team in staying on top of their deliverables
Operations & Administration
  • Coordinate event organisation and logistics
  • Handle general administrative tasks with meticulous attention to detail
  • Support team coordination and internal communications
  • Maintain filing systems and company documentation
Team Support
  • Ensure team members have the resources and clarity they need to deliver
  • Monitor progress across projects and flag potential bottlenecks
  • Foster a culture of organisation and accountability
Essential Requirements
  • Proven experience as an Executive Assistant and/or Project Manager in fast-paced, scaling environments
  • Exceptional organisational skills with demonstrated ability to manage competing priorities
  • Strong track record of building processes and systems that scale
  • Excellence in time management and ability to work autonomously in a remote setting
  • Outstanding written and verbal communication skills
  • Highly digitally confident with strong technical aptitude across various platforms and tools
  • Meticulous attention to detail
  • Ability to handle confidential information with discretion
  • Located in Central London or within easy reach, with ability to be in person one day per week
  • Flexibility to occasionally be contactable during evenings and weekends when needed
Desirable Skills
  • Bookkeeping experience or financial administration skills
  • Experience in media, publishing or startup environments
  • Familiarity with the longevity or wellness sector
Working Arrangements
  • Contract basis: Approximately 40 hours per week
  • Location: Primarily remote with one day per week in Central London
  • Hours: Normal office hours with occasional flexibility required
  • Start date: JANUARY 2026
