ResponsibilitiesThe eSystems Manager plays a pivotal role within the Global Quality Function, overseeing the strategic and operational management of the electronic Quality Management System (eQMS) and the electronic training system. This role ensures that digital quality systems are effectively implemented, maintained and continuously improved to support compliance with the appropriate Regulations, Standards and Legal requirements, as well as internal user expectations.
The eSystems Manager collaborates cross-functionally with Quality, IT, Regulatory, and Operational teams to ensure system integrity, data accuracy, and user engagement. They are responsible for ensuring optimised system configuration, process optimisation, system trouble shooting, system validation, and user training, while also serving as the primary point of contact for audits and inspections related to electronic systems.
Key accountabilities include:
- Lead the lifecycle management of the electronic Quality Management System and electronic training system (e.g. Trackwise)
- Ensure systems are validated and maintained in compliance with applicable regulations (e.g., ISO 9001, ISO 13485, FDA 21 CFR Part 11)
- Drive the integration of the eQMS with other supporting software, as applicable, ensuring that the integrations are appropriately validated and do not adversely impact the functionality or validation of the eQMS
- Develop and maintain system governance frameworks, including SOPs, user access controls, and audit trails
- Collaborate with cross-functional teams to optimize quality processes through digital solutions
- Drive harmonization and implementation of eSystems across sites globally
- Identify and implement system enhancements to improve usability, data integrity, and reporting capabilities
- Monitor system performance and compliance through audits, metrics, and risk assessments
- Serve as the SME during internal and external audits related to quality eSystems
- Ensure data integrity and security across all quality platforms
- Develop and deliver training programs for system users and administrators
- Provide ongoing support and troubleshooting for quality system users
- Create and maintain user guides and training materials
- Lead eSystem implementation and upgrade projects
- Track project milestones, budgets, and deliverables
- Bachelor's degree, or equivalent, in Life Sciences, Engineering, Computer Science, related field; and/or relevant experience
- Essential - Extensive experience in quality assurance or quality systems within a regulated industry, with knowledge of core Quality processes such as document management, non-conformance, CAPA, audits and complaints
- Hands-on experience with electronic Quality Management Systems (e.g., TrackWise, Agile PLM, MasterControl)
- Proven track record in eSystem management, upgrades, validation, and compliance with software lifecycle and data integrity standards
- Established track record in driving continuous improvement initiatives
- Excellent communication, planning, and organisational skills
