Employee Onboarding and Engagement Co-Ordinator

Location: Our offices are in Central London. You need to be able to travel onsite to London up to 3 days per week, although onsite requirements will vary from week-to-week from 0 to 3 days.

Salary: Up to £35,000

SC Clearance Requirements: Due to working with a number of government bodies, SC clearance is required for this position. You do not need active SC clearance as we will undertake checks upon you joining, but you must be eligible to pass SC clearance.

About the Role

Cloudscaler is growing rapidly, having doubled our headcount in 2025, with plans to double again in 2026.

We are looking to hire an Onboarding and Screening Administrator to take responsibility for three key areas:

  • Pre-boarding, onboarding and offboarding of all Cloudscaler employees and contractors
  • Onboarding and offboarding to customers, working alongside customer Account Leads
  • Background checks and security clearance for Cloudscaler employees and contractors

Additionally, this role will lead on all employee engagement activities such as organising our team socials and wellbeing activities, event planning our company days, and celebrating birthdays, milestones and other achievements across our team. Experience in event planning is not required, so you will have the opportunity to develop this experience within the role.

Key Responsibilities

  • Leading all pre-boarding, onboarding (induction) and offboarding processes for all permanent employees and contractors
  • Working alongside the Talent Acquisition team as the key point of contact for new joiners during the pre-boarding and onboarding phases
  • Manage IT account creation including emails, Slack accounts etc. (training will be provided, experience is not expected)
  • Manage ordering of equipment, building passes, laptops, and anything else needed for new joiners' first day with us
  • Co-ordination of start dates and onboarding schedules ensuring new joiners meet all key contacts. Working alongside line managers to create a structured induction plan for new starters
  • Co-ordinate with line managers and customer Account Leads (where appropriate) to ensure smooth integration into the team
  • Manage background checks for all new joiners
  • Manage security clearance process for permanent staff and contractors
  • Document, maintain, automate and continuously improve pre-boarding, onboarding and off-boarding processes, identifying opportunities for efficiency and employee and line manager experience enhancement
  • Organise and deliver regular social events and team initiatives including charity events to strengthen employee engagement and build company culture
  • Lead the organisation of Company Days (all-hands off-site days), coordinating logistics, agenda, and activities

Skills and Experience

  • Experience of organising pre-boarding and onboarding activities across multiple teams and customers
  • Experience working within a startup/scaleup - you are used to working with lean tooling and ambiguity and thrive in these environments where you need to be solution-driven
  • Impeccable attention to detail - You double-check everything, maintain accurate records, and ensure compliance with all procedures
  • Excellent organisational skills including co-ordination of colleagues, stakeholders, customers and suppliers
  • Relationship builder - You can communicate with a range of personalities, and know how to make people feel heard, understood, and valued
  • Solution-focussed - When challenges arise, you find ways to overcome them rather than dwelling on problems
  • A natural problem solver - you see obstacles before they arise and proactively put the correct solution in place whether it be processes, documentation, organisation etc.
  • You are proactive in your approach - You anticipate needs and drive processes forward independently

Nice to have but not essential:

  • Knowledge of security clearance processes (SC, DV, or similar)
  • Experience onboarding into customer accounts
  • Experience in consultancy, professional services, or contractor-heavy recruitment agency environments
