Job Description

TheDeputy Reception Manager will act as a support for our Reception Manager in a variety of tasks. We are looking for a team member with experience in General Practice and leading a team. The role will support our Reception Manager to cover 5 working days between 8:00-18:30 to help lead the reception team. We are looking for a full time, permanent role. The working hours/days can be negotiable.

Main duties of the job

The candidate will be a motivated team player who is confident with IT and will be able to confidently lead the reception team in the absence of the Reception Manager. You will work closely with members of the wider practice, acting as a professional liaison with clinicians and admin teams to deliver a patient centred service. You will be flexible, reliable and able to multi task in a fast paced environment.

About us

Ashfields Primary Care Centre is based in Sandbach, Cheshire and supports nearly 29,000 patients. The reception team consists of 21 team members who work alongside GPs, nurses, pharmacists and other administrative roles.

Job responsibilities

Primary Responsibilities:

  • All tasks undertaken normally by the receptionist and providing leadership and support alongside the Reception Manager.
  • Supporting staff training.
  • Ensuring the smooth running of day to day reception duties and that all areas are covered.
  • Ensuring effective use of appointments system.
  • Ensuring all appropriate admin work is completed.
  • Supporting with new staff induction programs.
  • Supporting the Reception Manager with staff rotas.
  • Act as a support to the management team and supporting implementation of strategies and goals.
  • Supporting the Reception Manager with staff performance feedback.
  • Providing consistency of service to patients and ensuring reception staff provide a high level of service.
  • Supporting monitoring of appointment and telephone systems to meet requirements linked to patient access and waiting times.
  • Coordinating or organising reception meetings and agendas.
  • Support with the creation and/or review of reception protocol and policies.

Secondary Responsibilities:

  • Partake in audits as directed by the audit lead.
  • Scanning of patient related documentation and attaching scanned documents to patient's healthcare records.
  • Complete opening and closing procedures in accordance with the duty rota.
  • Ordering and monitoring of stationery supplies.
  • Organise and support on SEA or quality meetings.
  • Support and respond to patient complaints/concerns linked to reception.
Qualifications
  • Educated to GCSE level or equivalent.
  • GCSE Mathematics & English (C or above).
  • AMSPAR Receptionists Qualification.
  • NVQ Level 2 in Health and Social Care.
