  • The collection and supervision of accurate and timely data for patients with cancer and suspicion of cancer in order to monitor the Dental Institute's performance against the National and Trust Cancer targets
  • The collection, supervision and presentation of accurate and timely data for the Trust cancer PTL meetings
  • To assist with the processing of Subject Access Requests, preparing patient data for submission
  • To assist the management team in the local administration of the Trust computerised Patient Administration System (EPIC) - to create, amend and cancel Dental clinic sessions in accordance with departmental procedure and in compliance with Trust policies
  • To assist the Deputy General Manager in the local administrative processing of patient complaints
The post holder will be required to collect data from a variety of sources including EPIC, PTL, patient health records, proformas and other data sources internal and external to the Trust.

Main duties of the job
  • To collect and enter the data on all cancer pathway referrals. To enter this data into the Trust & local Dental cancer waiting times database ensuring, through liaison with the Trust cancer services team, Waiting List staff and clinical teams, that the data is accurate, timely and complete
  • To liaise with dental, medical, nursing and administrative staff to ensure that all cancer pathway referral patients are identified through various sources e.g. Dental Waiting List office, clinics, and other data sources for recording on the Trust & local Dental cancer waiting times database
  • To manage and monitor the Dental head & neck cancer pathway PTL
  • To attend the Dental head & neck MDT meetings, preparing information, solving queries and escalating issues
  • To attend the Trust cancer PTL meeting, providing updates, taking back queries and escalating any issues to/from the department
  • Under the direction of the Waiting List Manager, to create, amend and cancel Dental clinic sessions on the Trust computerised Patient Administration System (EPIC), in accordance with departmental procedure and in compliance with extant Trust policies
  • To assist the Service Manager with the local administrative processing of patient complaints in compliance with extant local and Trust policies and relevant legislation
  • To liaise with the King's SARS team for any Subject Access requests, providing information in a timely manner

Detailed job description and main responsibilities
  • To provide basic analysis of data as required by the Dental Institute, Trust and external agencies within agreed deadline
  • To update and maintain relevant information resource databases / spreadsheets
  • To attend regular team meetings to gather information/data and provide support as required
  • To participate in projects and provide data for service improvement as requested by members of the Dental Patient Services team
  • To support and work with clinical teams in completing clinical databases
  • Contribute to the continuous development of information systems to improve data collection
  • To monitor, maintain and manage the Dental Information Team mailbox
  • The scanning of paper records into EPIC in a timely manner as requested

Person specification Education
  • Educated to GCSE level, with grades (level 4-9) or equivalent
  • Experience of clinic build management within EPIC
Knowledge
  • Ability to use the Trust EPIC system
  • Experience of managing cancer pathways, including booking, updating, tracking and liaison with clinical teams
Skills
  • Communication skills - able to relate and communicate with patients and staff at all levels and from different professions. Adapts communication style as necessary and is able to work with and through others. Confident and Competent formal and informal communicator
  • Ability to work under pressure within a co-operative multi disciplinary team-based working environment
