Customs Coordinator Role Overview

The Customs Clearance Coordinator is responsible for managing import and export customs processes, ensuring full compliance with HM Revenue & Customs regulations. The role involves accurate declaration processing, shipment coordination, and proactive problem-solving to ensure efficient and compliant movement of goods.

Customs Coordinator Key Responsibilities
  • Prepare and submit customs declarations via Custrans/CDS
  • Classify goods using HS (Harmonised System) codes
  • Assign correct commodity (HS) codes and Customs Procedure Codes (CPCs)
  • Calculate and verify duties, VAT, and tariffs
  • Submit entries and monitor acceptance or rejection
  • Review incoming shipment files from freight forwarders, clients, or internal teams
  • Check commercial invoices, packing lists, and transport documents for accuracy
  • Verify Incoterms and ensure correct party responsibilities
  • Verify and check duty/VAT calculations
  • Input shipment data into CDS (Customs Declaration Service) via Custrans software
  • Ensure compliance with HM Revenue & Customs regulations
  • Confirm goods meet all regulatory requirements
  • Screen shipments for restricted or controlled goods
  • Ensure correct licences, permits, and documentation are in place
  • Check origin rules and supporting documentation (e.g. phytosanitary certificates, EUR1 documents)
  • Monitor regulatory updates and tariff changes
  • Review updates to CDS or trade agreements
  • Liaise with freight forwarders, hauliers, carriers, warehouse teams, customers, and internal departments
  • Respond to customs queries or holds raised by border authorities
  • Provide updates on clearance status and delays
  • Participate in huddle meetings with the commercial department
  • Work closely with the D2D department to ensure a smooth customer experience
  • Resolve declaration errors or rejected entries
  • Handle inspections, documentary checks, or physical examinations
  • Amend and resubmit entries when required
  • Maintain accurate records for audit purposes (minimum 7 years)
  • Store import/export documentation securely
  • Support audits conducted by HM Revenue & Customs
