Job overview

The Corporate Office Administrator will provide high-quality administrative support to the Corporate Office and Corporate Governance Team, ensuring the delivery of a seamless and efficient administrative service across two closely linked functions.

Based at Trust Headquarters, the post holder will support a wide range of corporate activities, including Executive-level meetings, Board and sub-committee processes, and general administrative operations. The role requires strong organisational skills, attention to detail, and the ability to work effectively in a busy and fast-paced environment.

Main duties of the job
  • Supporting the Corporate Office and Corporate Governance Team to deliver an efficient and effective administrative service.
  • Preparing and distributing meeting packs for Board, Executive and senior level meetings.
  • Providing note taking and administrative support for Executive-level meetings when required.
  • Acting as the first point of contact for visitors to Trust Headquarters, ensuring a professional and welcoming front of house service.
  • Managing general administrative tasks including correspondence, calendar management, shared inboxes, and document handling.
  • Supporting procurement processes, stock management, and general office housekeeping.
  • Arranging meetings, travel, accommodation, venues and refreshments.
  • Supporting the production of the Trust Annual Report and arrangements for the Annual General Meeting.
  • Maintaining website and intranet pages relevant to Trust Headquarters activity.
  • Working flexibly across teams and providing cover where required.

Detailed job description and main responsibilities

This is a varied and rewarding role within the Corporate Office at Trust Headquarters, supporting both the Corporate Office and Corporate Governance Team. The post holder will be expected to deliver a high standard of administrative support, working both independently and as part of a team, with the ability to prioritise and manage a diverse workload.

The successful candidate will be someone who uses common sense, takes pride in their work, and is willing to learn and develop within a busy and demanding environment. You will be a reliable and hardworking individual, able to use your initiative and respond positively to changing priorities and deadlines.

Given the nature of the role, you will be based within the organisation's head office and will regularly interact with a wide range of people. This includes colleagues at all levels across the Trust - from frontline staff through to Executive Directors and the Chair - as well as external stakeholders such as members of the public, senior NHS colleagues and external partners. The ability to remain professional, approachable, and confident in all interactions is essential.

You will act as a key point of contact for visitors and enquiries, ensuring that all interactions are handled courteously, efficiently and with a high level of professionalism. The role requires strong interpersonal skills, discretion, and the ability to deal sensitively with confidential information at all times, in line with Trust expectations.

You will also be expected to contribute to the continuous improvement of administrative processes, using your initiative to support the effective running of Trust Headquarters. Details About Salary & Working Hours
  • Please note that the salary advertised is for full-time hours. If this post is less than 37.5 hours per week, the salary will be pro rata. For posts on Agenda for Change pay-scales, new entrants to the NHS will normally commence on the first pay point of the relevant band.

Disclosure and Barring Scheme (DBS)
  • If the role you are applying for is identified as either controlled or regulated activity as defined in the Safeguarding Vulnerable Groups Act (2006) any offer of employment is provisional upon a satisfactory DBS check being obtained.
  • The healthcare sector is exempted from the Rehabilitation of Offenders Act 1974.
  • In line with other NHS organisations in the North West Region, the Trust is now passing the charge for undertaking a DBS check on to candidates in the event they are successfully appointed into the post for which they have applied. Candidates can choose whether to pay this over 1 3 months as a deduction from the monthly salary. However, if you are applying for a post as a BANK worker, the payment must be made in full at the time of employment checks.   • The cost of an Enhanced Disclosure will be £55.38 and for a Standard Disclosure will be £27.38.
