Job Description

Client Services Coordinator to join our collaborative team.

This is an excellent opportunity for a highly organised and detail-oriented individual to join a busy client services function, providing vital administrative support to the sales team and ensuring a high level of service is delivered to customers across the UK and international markets.

Working closely with the International Sales Manager and wider internal teams, you will play a key role in order processing, supplier coordination, and customer communication to ensure products are delivered accurately and efficiently.

The day to day

As a Client Services Administrator, you will be responsible for providing comprehensive administrative and operational support across the sales and client services function.

Order Processing and Administration

  • Accurately process customer orders onto internal systems and customer portals where required.

  • Liaise with the warehouse and shipping teams to ensure timely and accurate order fulfilment.

  • Check purchase orders and supplier instructions to ensure all information is complete and correct.

  • Monitor supplier delivery schedules and coordinate deliveries to optimise efficiency.

  • Manage 'Goods In' queries and ensure prompt resolution of delivery issues.

  • Support export logistics administration for international shipments.

Customer and Supplier Coordination

  • Build strong working relationships with International Sales Managers and internal departments.

  • Liaise with suppliers to confirm delivery schedules and manage customer expectations.

  • Coordinate with technical teams to ensure correct product labelling, specifications, and documentation.

  • Monitor and track customer complaints, ensuring prompt resolution and appropriate follow-up.

General Client Services Support

  • Coordinate product samples for customers, ensuring safe and efficient delivery.

  • Provide administrative support to the wider sales and client services team.

  • Act as the first point of contact for visitors, ensuring a professional and welcoming experience.

  • Answer incoming calls and direct queries to the appropriate team members.

  • Assist with events or trade shows where required.

Finance and Invoicing Support

  • Investigate and resolve purchase invoice queries in collaboration with the finance team.

Key Skills and Experience
  • Previous experience in an administration, customer service, or sales support role

  • Excellent attention to detail and strong organisational skills

  • Strong communication skills, both written and verbal

  • Confident managing multiple priorities and working to deadlines

  • Strong IT skills and confidence using internal systems

  • Experience within supply chain, logistics, or exporting environments would be beneficial
