Job Description

DIVISION B-hive Property Solutions (CF)

QUALIFICATION LEVEL Maths and English at GCSE (A-C) or equivalent

Main Responsibilities
  • Ensure that service charges are accounted for in accordance with the RICS Code of Practice, ARMA-Q rules, accounting regulations, and other HML best practices. This includes the accurate and timely issue of service charge accounts (within 6 months of the year-end) and issuance of section 20b notices where applicable. Also includes statutory accounting and taxation affairs.
  • Prepare and reconcile information on PMS, including year-end adjustments, reserve fund transfers, and expenditure checks. Ready the accounts admin team for the year-end audit packs.
  • Respond to queries from property managers, accountants, and clients within 3 working days.
  • Liaise with property managers and external auditors via email, phone, and in person to obtain approval of year-end service charge accounts within 6 months and company accounts within 9 months of the year-end.
  • Prepare year-end balancing service charge surplus/deficit calculations, input the balancing amount, and raise credit notes/manual demands as needed.
  • Assist in preparing Section 20b notices within the 6-month deadline, including drafting expenditure for approval.
  • Update the control sheet daily, ensuring accuracy.
  • Assist with additional ad hoc accounting or administrative tasks as directed by the Client Accountant or Manager.
