Clerical Support/Ward Clerk in Central Treatment Suite

The post holder will provide clerical support within the department regarding all aspects of tissue viability and minor operations. The successful candidate will manage referrals to the department, maintain patient records, be responsible for arriving and discharging patients that have attended the department and handle correspondence. They will be responsible for uploading photographs taken by CTS staff onto the trust's mainframe.

In addition the post holder will also participate in audits relevant to the Central Treatment Suite, will maintain the departments pressure ulcer data base and align the data base with any Q-safe forms, making corrections where necessary.

The post holder will also be required to collaborate with both inside and outside agencies such as the community nursing services & external doctors to uphold working relationships where required.

Main duties of the job

To demonstrate excellent customer care and communication skills in the provision of a frontline service for the CTS team.

Book clinic appointments and manage any cancellations or amendments in a timely manner.

Utilise relevant patient record systems to enter or retrieve patient data in preparations for minor surgery clinics.

Undertake photocopying and scanning of confidential and non-confidential information.

Assist with audits and surveys relevant to the department as required.

Support with stationary monitoring and ordering.

Assist with stock rotation within the unit when required.

Organise interpreters and transport if required.

To email any urgent information required to either internal doctors or external trusts in order for urgent assessments and appropriate transfer/treatment where required.

To sort and distribute incoming post and organise and send outgoing post daily.

Uploading photographs taken by the department on to the trusts mainframe and distributing the consent forms to the wards where the patient remains or to medical records if the patient has been discharged.

Update the departmental information board regarding clinics on a daily basis so that patients, visitors and staff are aware of what clinics/consultants are working within the unit.

Person Specification Education and Qualifications
  • Excellent verbal and written English language skills.
  • Experience of using IMP, eHr, Words & Excel
  • Excellence in meeting & greeting patients, relatives and visitors for appointments
  • Customer Care Course
Knowledge and Experience
  • Previous experience of working in an acute healthcare setting
  • Previous experience working within front of house meeting and greeting patients, staff and visitors
  • Working as part of a team
  • Knowledge of using IT systems including Words & Excel
  • Flexibility and Adaptability
  • Willingness to develop new skillsExcellent Organisational and administrative skills
  • Good knowledge and understanding of Data protection, Health and Safety. Information Governance & Safeguarding

  • Good communication and interpersonal skills
  • Self-motivated and able to undertake own work without supervision
