Clerical Officer (Finance)

About the Role:

On behalf of the NI Assembly, MPA recruitment welcome suitable applications for the role of a Clerical Officer.

As a Clerical Officer (Finance Team), you will work as part of a team and will be responsible for the day-to-day administrative work of the Finance Office to ensure high quality service delivery.

You may previously have worked effectively within a team in the past or be able and willing to do so, and you should have the ability to communicate clearly and effectively as you carry out your new and important role.

Clerical Officers appointed to the Finance Office may be asked to work within any of these sections: Payroll, Pensions, Claims and Accounts Payable.

Job Description:

The main duties and responsibilities are:

  • Provide helpful and professional customer service to Members of the Legislative Assembly (MLA's) and their staff, NI Assembly staff and third-party suppliers
  • Process financial information including invoices, payroll data, expense claims and payments.
  • Assist with basic reconciliations and make routine updates or corrections on finance and payroll systems.
  • Maintain accurate filing and records of financial documents.
  • Manage shared mailboxes, incoming correspondence and routine enquiries.
  • Respond promptly to queries by email, phone and in person.
  • Use Microsoft Office and internal finance systems to complete daily tasks.
  • Follow organisational policies and procedures, including Equal Opportunities and Dignity at Work.
  • Carry out any other reasonable duties to support the finance team.
What We're Looking For:

Essential Criteria

Applicants must, by the closing date for applications have:

  1. GCSE 'A' level grade A -C in 2 separate subjects and 5 GCSEs grade A -C including English Language and Mathematics. Applications will be considered from applicants with formal qualifications of an equivalent or higher standard to those stated.

AND

At least 2 years' experience in a finance office, or an administrative role carrying out finance duties, in each of the following:

  1. Processing and inputting financial information, such as invoices, payroll data and / or expense claims.
  2. Using effective oral, written and numerical skills to communicate effectively with a diverse range of people at all levels, including team members, members of the public, customers, suppliers and managers.
  3. Organising workload and giving attention to detail to produce accurate, high quality work to deadlines.
  4. Effectively using a financial software package and Microsoft Office products to process financial documents and information.

OR

  1. At least 4 years' experience in a finance office, or an administrative role carrying out finance duties, in each of a) - d).
