Main duties of the job- Assist in the preparation of case notes for community clinics, accessing different systems to ensure patient details are correct on the relevant systems. Booking appointments onto Patient Administration Systems retrospectively and completing clinic outcomes.
- Collection and delivery of case notes / prescriptions from outpatient clinics, secretaries, and other departments, as required.
- In conjunction with the Medical Secretary Manager, maintain appropriate stationery supplies and re-order using electronic systems as directed by either the Medical Secretaries or Medical Secretary Manager.
- Adhere to all relevant policies, procedures, and work instructions.
- Co-operate in the introduction of 'new technology' as it may apply.
- Make economical use of supplies.
- To assist where appropriate in the provision of cover for other colleagues during absences.
- Assist in the orientation of new members of staff by demonstrating own duties.

Acute Care
Providing emergency and maternity services at Whiston, Southport and Ormskirk hospitals, and medical and surgical specialties across all our sites.

Providing primary care services at Marshalls Cross Medical Centre situated in St Helens Hospital.
Community Services
Providing adult community services for St Helens and a wheelchair service in Chorley, South Ribble, and West Lancashire. Our inpatient unit at Newton Community Hospital is where patients needing acute hospital beds can continue rehabilitation, freeing up space for more unwell patients. We also provide urgent care at our Urgent Treatment Centre located in St Helens town centre.
Specialist Regional Services
We provide the Mersey Regional Burns & Plastic Surgery Unit at Whiston Hospital and the Spinal Injuries Unit at Southport Hospital to more than 4 million people across the whole of Merseyside, West Lancashire, Cheshire, Isle of Man and North Wales.

- Access the computerised Patient Administration System (CareFlow) for relevant patient details, updating patient details as necessary.
- Retrieval of patient health records from other departments and the Medical Records Library, where applicable using the Trusts electronic request system
- Retrieve radiology and pathology results from core clinical systems.
- To ensure confidentiality and safe custody of patient case notes, filing all relevant
- Educated to GCSE level or equivalent qualification and/or experience
- Experience of working in a busy office environment
- NHS experience
- Experience of working in a clinic setting
- Good IT/computer skills (Microsoft Office and Outlook)
- Good knowledge and understanding of confidentiality
- Good interpersonal skills
- Ability to participate and work within a changing and demanding environment
- Able to present factual information and refer questions to others where appropriate
