About Us

West Sussex Alternative Provision College (WSAPC) is an educational establishment based across the county on seven separate sites, providing education for pupils whom are permanently excluded, at risk of exclusion or too ill to attend school.


Our ethos is to provide FOCUS (Future, Opportunities, Curriculum, Us, School) for our pupils to re engage them in their learning and support re integration to mainstream provision.


Job Details

West Sussex Alternative Provision College (WSAPC) is seeking a highly organised and proactive Business Support Assistant to join our team.


This is a key role within the college, acting as the first point of contact for pupils, families, staff and external partners. You will play a vital part in ensuring the smooth day to day administration of the centre and supporting pupils through well coordinated processes and systems.


Key Responsibilities
Administration & Operations

  • Manage and deliver high quality day to day administrative support

  • Provide support to the Head of School and wider team, including meetings and documentation

  • Maintain efficient administrative systems to support centre operations


Pupil & Admissions Administration

  • Coordinate pupil admissions and transitions into WSAPC

  • Maintain accurate and compliant pupil records

  • Support reintegration and statutory reporting processes


Data & Information Management

  • Maintain and manage systems such as Bromcom and SharePoint

  • Ensure data accuracy, integrity and compliance

  • Produce reports to support leadership decision making


Communication & Stakeholder Engagement

  • Act as a key contact for parents/carers, staff and agencies

  • Manage communication systems including telephone, email and visitors

  • Build effective relationships with external partners


Finance & Compliance

  • Support financial administration including orders, invoices and tracking

  • Ensure compliance with safeguarding, GDPR and statutory requirements

  • Maintain records for audit and inspection purposes


Safeguarding & Site Support

  • Manage systems related to safeguarding and site security

  • Support safe and compliant centre operations


What You Need to Succeed
About You

We are looking for someone who:


Qualifications & Knowledge

  • Has GCSEs (or equivalent) in English and Maths (Grade C/4 or above)

  • Holds an NVQ Level 3 (or equivalent) in administration or relevant experience

  • Has strong ICT skills (Microsoft Office essential)

  • Understands safeguarding, data protection and administrative processes


Experience

  • Proven experience in an administrative or business support role

  • Experience with financial processes (orders, invoices)

  • Experience working in a school or public sector setting (desirable)


Skills

  • Excellent organisational and time management skills

  • Strong communication and interpersonal abilities

  • Able to handle sensitive information with professionalism and discretion

  • Calm and resilient in challenging situations
