The Role

This role involves providing dynamic and essential PA support to our Directors and C Suite executives. The successful candidate will be responsible for maintaining a high standard of daily support, demonstrating both a proactive approach and a forward thinking mindset. As a member of the Business Services PA team, you will deliver exceptional and proactive support, particularly during times of absence. This position also requires delegating tasks to the Administrative Assistant and overseeing their completion to ensure consistent and efficient support. Your contribution is key to upholding our standards of excellence and fostering a positive, collaborative work environment.

Responsibilities
  • Comprehensive diary management - anticipating and managing meeting schedules.
  • Answer and screen incoming calls, responding to all callers in an efficient, timely and professional manner.
  • Comprehensive email management - reading and monitoring emails where applicable and prioritising and summarising emails on a daily basis - reporting on and creating action points where necessary.
  • Ensuring responses are grammatically accurate and well presented.
  • Meet and greet visitors to the office when applicable.
  • Maintain an efficient e filling system; organise confidential and other sensitive information, keeping files up to date and archiving as appropriate.
  • Manage complex travel arrangements and produce detailed itineraries and financial travel information packs and liaise with international offices, where necessary.
  • When present in the office facilitate in house meetings.
  • Draft correspondence and review documentation as required and appropriate.
  • Work as part of the Business Service PA team to provide cover during holidays and absences.
  • Delegation of tasks to Business Service PA team Administration Assistant through to completion.
  • Attend and take minutes at meetings as required, ensuring that all attendees are well prepared and briefed, as well as ensuring all actions are captured and followed up on and that agendas are prepared and circulated ahead of time.
  • Typing confidential correspondence when necessary.
  • Proof reading and quality checks on all work produced.
  • Occasionally travel may be required to attend Dentons offices.
Additional Responsibilities
  • Arrange and facilitate internal and external team events and off sites including venue management.
  • Undertake a wide variety of duties that may be reasonably required on a day to day basis.
Personal attributes and experience
  • Significant PA experience gained working either within a law firm or professional services environment.
  • Computer literate and proficient in MS Office software, i.e. Outlook and Word.
  • Extensive diary management experience.
  • Excellent written and verbal communication skills.
  • Interact positively at all levels within the firm.
  • A good team player, capable of working as part of a geographically dispersed team.
  • Follow detailed instructions.
  • Excellent attention to detail, time keeping and organisation.
  • Effectively negotiate with and influence colleagues and others to achieve a successful outcome.
  • Strong problem solving and analytical skills.
  • Awareness of the importance of confidential information and how to deal with it.
  • Exercise tact and diplomacy in an organisational setting.
  • Clearly explain and present problems and issues to others and contribute to their resolution.
  • Make decisions and remain calm while under pressure - particularly when dealing with difficult situations.
