Business Administrator (with EA & Office Management duties) - London

About the Role
We are seeking a proactive and organised Business Administrator to support our Risk Services business and wider Integra group. This role combines executive assistance, office management, and administrative support with exposure to brokers, insurers, and risk engineers. You will be the central point of coordination for projects, meetings, and office operations, ensuring smooth delivery of both day-to-day tasks and client-facing activities.

Business Administration & Project Support
  • Provide full administrative support to the Risk Engineering team, including setting up projects, tracking survey dates, maintaining diaries, and updating internal systems (e.g., Mavenlink, trackers, risk engineering platforms).
  • Liaise with brokers, insurers, and risk engineers to arrange meetings, site visits, and kick-off calls.
  • Compile and track project and financial information for weekly and monthly reporting.
  • Run risk reports (e.g., PerilMapper) and support engineers in preparing documentation.
  • Assist with sanctions checking and contract tracking (e.g., TOBAs).
  • Chase outstanding actions, funds, and survey information from clients and partners.
Executive & Office Management
  • Provide EA support to senior team members, including diary management, meeting preparation, and follow-up.
  • Act as first point of contact for office management, ensuring smooth day-to-day running of the office.
  • Support Integra events: coordinating guest lists, managing logistics, and ensuring proper follow-up.
  • Assist with LinkedIn and other marketing & administration initiatives as required, ensuring alignment with the company's strategy.
About You
  • Strong organisational and administrative skills, with proven ability to manage multiple priorities.
  • Confident communicator who can build relationships with brokers, insurers, engineers, and internal stakeholders.
  • Detail-oriented with strong skills in Excel, Word, and other office tools.
  • Proactive, reliable, and comfortable taking ownership of tasks and seeing them through to completion.
  • Prior experience in financial services, insurance, or professional services is desirable.
