Essential duties and responsibilities include understanding and assisting with the complete billing process from time entry, maintaining firm billing guidelines, disbursement accuracy, encouraging timeliness, prebill preparation, generating invoices. Collaborating with clients, attorneys and other team members to resolve billing inconsistencies and errors; creating invoices and billing materials to be sent directly to clients; calculating and tracking various client invoices through the electronic billing process. Must be detail oriented, a team player and able to work within time sensitive deadlines.

Key Responsibilities:

  • Prepare, review, and distribute client invoices in accordance with attorney instructions and client-specific billing requirements.
  • Collaborate with attorneys and staff to ensure time entries, expense tracking and matter updates in billing systems.
  • Process, submit and follow up on electronic bills (e-bills) through various client platforms, ensuring compliance with formatting and submission standards.
  • Resolve billing discrepancies, respond to client inquiries, and provide detailed billing details to attorneys and staff.
  • Maintain and update billing records, rate schedules, and client agreements in the firm's billing software.
  • Ensure adherence to firm policies, ethical standards, and applicable legal billing regulations.
  • Support audits and provide documentation related to billing activities as required.

Qualifications:

  • Strong attention to detail, organizational skills and ability to multi-task
  • Prior experience with (Aderant, Tymetrix, Legal X, Bottomline) a plus
  • Strong analytical skills and exceptional attention to detail
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Ability to prioritize tasks, manage deadlines, and work independently in a fast-paced environment
  • Full-time position, typically office-based with potential for hybrid work arrangements.
  • Occasional overtime may be required during year-end or peak billing cycles.
