Responsibilities
  1. Estimate Generation - approx 35%:
    • Utilize architectural drawings and/or historical data to generate accurate project estimates.
    • Collaborate with directors to ensure estimates align with project requirements and budget constraints.
  2. Communication Management - approx 10%:
    • Handle inbound office communication both internally and externally.
    • Filter and prioritize communication between internal supply chain teams and external stakeholders.
    • Maintain clear and concise communication channels to ensure project progress and resolve issues promptly.
    • Conduct weekly updates to clarify expectations and priorities.
  3. Project Management Assistance - approx 15%:
    • Manage smaller ad hoc graphic requirements for stakeholders, ensuring quality and timeliness.
    • Track timelines and deliverables, ensuring milestones are met.
    • Maintain adequate materials for the operations team.
    • Ensure risk assessments and method statements are generated prior to project start on-site.
    • Attend external installation sites occasionally to build relationships with on-site teams and stakeholders.
  4. Pre-qualification Questionnaire Compliance - approx 10%:
    • Oversee completion and submission of PQQ to maintain eligibility for tenders.
    • Coordinate with departments to gather necessary documentation.
    • Maintain and update a database of qualifications, certifications, and compliance documents.
    • Review and update PQQ responses regularly.
    • Manage submission deadlines and completeness.
  5. Research and Innovation - approx 5%:
    • Research new projects to add value for clients.
    • Identify opportunities for innovative or sustainable materials, seeking director approval.
    • Gather graphic and visual content for external marketing, ensuring quality, brand alignment, originality, and relevance.
  6. Financial Oversight - approx 25%:
    • Finalize project costs monthly for review.
    • Monitor budgets, expenses, and resource allocation.
    • Address cost queries from quantity surveyors with director input.
  7. Summary and General Qualities
    • Assist directors in project execution and operations.
    • Work independently and proactively.
    • Maintain organization, attention to detail, and effective communication.
    • Prioritize tasks, meet deadlines, and solve problems creatively.
    • Represent the organization professionally and build positive client relationships.
    • Approach tasks positively and demonstrate analytical skills.
