No two days are the same. This varied role will provide exposure to all areas of practice operations, including:
Supporting GPs and clinical staff with administrative and secretarial duties.
Managing referrals through the Electronic Referral Service (ERS) and maintaining referral tracking systems.
Processing patient correspondence, reports and information requests.
Managing patient records and ensuring data quality and confidentiality.
Supporting the efficient operation of reception services and providing exceptional patient care.
Liaising with hospitals, community services and external healthcare providers.
Assisting with operational projects, service improvements and practice administration.
Providing support within the dispensary when required following appropriate training.
Working alongside the practice manager to help ensure the smooth and effective delivery of services.

KEY RESPONSIBILITIES
Administrative and Secretarial Support
Provide comprehensive administrative and secretarial support to GPs, nurses and other clinical staff.
Prepare, type and distribute clinical and non-clinical correspondence, reports and referral letters accurately and within required timescales.
Process patient letter requests and ensure private work is invoiced appropriately in accordance with practice procedures.
Process requests for information including Subject Access Requests (SARs), insurance reports, solicitor requests, DVLA forms and other third party enquiries.
Scan, upload and accurately attach patient documentation to electronic medical records.
Support the management team with administrative duties, audits, reports and operational projects.
Referral Management
Process patient referrals efficiently using the Electronic Referral Service (ERS) and alternative referral pathways where required.
Monitor referral progress and ensure referrals are actioned promptly and appropriately.
Maintain and monitor an accurate Two Week Wait referral database and support compliance with referral tracking requirements.
Liaise with hospitals, community services and external healthcare providers regarding referrals and patient information requests.
Medical Records Management
Administer the movement of patient medical records to and from the practice and liaise with PCSE where necessary.
Summarise and process records for newly registered patients.
Maintain accurate, confidential and up to date patient records in accordance with GDPR and NHS requirements.
Support data quality initiatives and undertake regular record maintenance activities.
Reception and Patient Services
Support the Office Manager in maintaining an efficient and patient focused reception service.
Provide reception cover as required, including telephone and face to face patient contact.
Deliver exceptional customer service and support patients with enquiries in a professional, compassionate and effective manner.
Assist with the investigation and resolution of patient queries and concerns, escalating issues where appropriate.
Dispensary Support
Provide cover within the dispensary during periods of annual leave, sickness absence or increased operational demand following appropriate training.
Liaise with clinicians, patients and pharmacists to support the safe and efficient delivery of dispensing services.
Maintain accurate records and ensure compliance with dispensary procedures and regulatory requirements.
Operational Support and Leadership Development
Work closely with the Practice Manager and Office Manager to support the effective operation of the practice.
Assist in reviewing, monitoring and improving administrative and operational processes.
Support the implementation of practice policies, procedures and service improvements.
Assist with the coordination of administrative workloads and provide support to reception and administrative colleagues as required.
Deputise for the Practice Manager on designated administrative and operational matters when required.
Contribute to staff training, induction and the sharing of best practice across the administrative team.
Act as a key point of contact for operational queries and support colleagues in resolving day to day issues.
General Responsibilities
Maintain strict confidentiality at all times.
Comply with GDPR, NHS regulations, Health and Safety requirements and practice policies.
Undertake mandatory and role specific training.
Participate in team meetings, operational reviews and practice development activities.
