Job Description SummaryThe Assistant Manager coordinates and delivers leasing and reservations activities and assists the General Manager in day-to-day management of the portfolio to achieve budgeted revenue, occupancy, resident retention, and leasing goals.
Key Responsibilities- Act as a role model by demonstrating the company values and ensuring property standards are met, with follow-up on viewings and collection of feedback.
- Participate in the leasing process by generating and monitoring traffic, qualifying prospects, preparing tenancy documentation, and completing move-in/move-out and notice to vacate procedures in accordance with policies.
- Use the company's property systems to generate sales and leasing reports, monitor unit availability, log maintenance requests, and record incidents and accidents with accurate documentation.
- Engage with residents to proactively improve service delivery and promote resident satisfaction and retention through timely responses to questions, requests, and complaints.
- Oversee on-site inquiries, manage the inventory of ready-to-rent apartments, recommend rent pricing and concessions, and monitor day-to-day sales and leasing activities.
- Ensure advertising and promotional activities are effectively implemented; maintain local knowledge of resources relevant to residents' needs.
- Stay informed about market and competitor conditions that may impact occupancy and results.
- Coordinate tenancy management including periodic inspections, evictions, late fees, and other charges in accordance with the terms of the tenancy agreement.
- Monitor lease expirations to manage vacancy exposure and monitor payments to meet business goals while promoting tenancy extensions and other revenue streams.
- Collaborate with maintenance to uphold property appearance and coordinate show flats for market alignment and tours for prospective residents.
- Work with the General Manager to motivate the team to achieve leasing and occupancy targets and assist in developing team capabilities and training where needed.
- Ensure on-site team understanding of applicable tenancy legislation, Health and Safety compliance, and company policies and procedures.
- Provide timely reporting to investors on property performance and address client/owner concerns promptly.
- Review financial and operational reports to identify issues affecting leasing performance and utilize internal resources to implement solutions.
- Identify opportunities to generate revenue streams and improve utility efficiency.
- Act in the General Manager's absence to ensure work is organized and executed per expectations; participate in on-call rosters for out-of-hours support when required.
- Ensure operations comply with company policies, legal requirements, and housing regulations.
- Good general education; proficient in Microsoft Office (Word, Excel, Outlook); experience with property operations software; training provided as needed.
- Financial understanding of accounts and budgeting; further development provided.
- Experience driving leasing/sales performance and managing operations with P&L responsibility and budget monitoring in the property sector or similar environment.
- Detailed knowledge of landlord/tenant legislation; strong teamwork with the ability to work autonomously and take ownership.
- Flexible, adaptable to a fast-paced and changing environment; culturally aware with strong relationship-building, communication, and negotiation skills.
- Fluent English verbal and written communication; excellent organization with the ability to multi-task and prioritize; strong numerical skills.
- Desire to deliver exceptional service and continuously improve knowledge of self and others.
- Understanding of UK Health and Safety policies.
- Demonstrable ability to coach and mentor team members; track record in delivering service excellence in a management role.
- Knowledge of fire legislation and debt collection processes.
