JOB DESCRIPTION SUMMARY

The Assistant Manager supports the day to day management and operations of the property, working closely with the Community Manager (or Property Operations Manager) to deliver an outstanding resident experience, achieve occupancy goals, and meet financial targets.

JOB DESCRIPTION Key Role Responsibilities
  • Always act as a role model by demonstrating professionalism, leadership and the Company's core values.
  • Manage the day-to-day property management and leasing operations of the portfolio, ensuring high occupancy levels, resident satisfaction and strong financial performance.
  • Build and maintain positive and professional relationships with tenants, prospective tenants, contractors and external letting agents to support long-term resident retention and business growth.
  • Coordinate and oversee all leasing activities including property viewings, applicant screening, tenancy agreements, renewals, move-ins, move-outs and notice procedures in line with company policies and RTB regulations.
  • Ensure all tenant enquiries, maintenance requests and complaints are responded to promptly and professionally, always delivering a high standard of customer service.
  • Monitor rental ledgers daily, manage arrears effectively and follow company procedures for rent collection, late payments and recovery processes while maintaining positive tenant relationships where possible.
  • Understand and interpret rental ledgers, payment tracking systems and financial reports to support accurate rent reconciliation and reporting.
  • Work closely with tenants to resolve payment issues and negotiate appropriate repayment plans where required.
  • Develop and maintain strong working relationships with local agents and industry contacts to support leasing activity, market awareness and occupancy targets.
  • Conduct regular property inspections to ensure properties are maintained to company standards and identify any tenancy or maintenance concerns.
  • Assist in preparing leasing and operational reports, monitoring occupancy trends, rental performance and arrears reporting.
  • Ensure all leasing documentation, resident records and compliance requirements are accurately maintained and updated within property management systems.
  • Support the management and development of onsite teams by promoting collaboration, accountability and excellent customer service standards.
  • Ensure the operation of the portfolio complies with all relevant RTB regulations, company policies and residential tenancy legislation.
  • Assist the Community Manager in the overall management of the property portfolio and provide cover in their absence when required.
  • Work effectively to strict deadlines and timeframes, ensuring all leasing, administration and operational tasks are completed accurately and on time. Acts up covering the Community Manager responsibilities in his or her absence ensuring work is organised and executed in line with Greystar expectations.
  • Participates where required in an on-call roster to provide out of hours emergency support for the Community.
  • Ensures the operation of the Community complies with Company policies and procedures and any laws and regulations governing housing operations and residential lettings.
About You Knowledge & Qualifications
  • Good level of general education.
  • Proficient in Microsoft Office packages including Word, Excel and Outlook.
  • Experience using property management and leasing software systems.
  • Good people management and team leadership skills.
  • Experience and understanding of RTB regulations and residential tenancy legislation.
  • Strong knowledge of general leasing practices and property management procedures.
Experience & Skills Essential
  • Proven experience within property management, residential leasing or a similar property environment.
  • Strong understanding of tenancy management, leasing processes, rental collections and arrears management.
  • Ability to build and maintain strong tenant, contractor and agent relationships.
  • Strong administrative and organisational skills with excellent attention to detail.
  • Ability to manage multiple priorities and work effectively to strict deadlines and timeframes.
  • Excellent communication, negotiation and conflict resolution skills.
  • Experience monitoring rental ledgers, arrears reporting and payment reconciliation.
  • Strong team-building skills with the ability to support, motivate and collaborate with colleagues.
  • Ability to work independently while also contributing positively within a team environment.
  • Strong problem-solving ability and a proactive approach to managing operational issues.
  • Fluent English verbal and written communication skills.
  • Professional, adaptable and customer-focused approach in a fast-paced environment.
